Job Description:

Responsible for support and services through program development, enhancement, and measurement. Identifies processes, resources, roles, and responsibilities, to meet department needs. Administers program by coordinating stakeholder activities, routine communication, verification of program compliance, and compliance documentation. Documents program standard operating procedures ensure communication to stakeholders and departments, ensures easy access to program information. Provides customer service and keeps management, employees, and clients updated on current policy, procedures, and related official information. Develops metrics to measure program success through adherence to scope, timeliness, budget maintenance, and forecasting, customer satisfaction. Performs research and develops graphs, charts, spreadsheets, correspondence, reports, and presentation materials, as requested. Promote and build the Youth Protection Program social media through strategic planning, creating, and distributing digital content utilizing multiple social media channels. Monitors program for improvement opportunities by reviewing program adherence to scope, client needs, and department goals. May supervise a team of direct reports or act as an individual contributor. WORKING CONDITIONS: Occasional travel may be required. Extended work hours will be required during peak periods.

General Notes

The University of Texas at Austin is seeking an Administrative Program Coordinator to support programs and policies. This position will assist in the development and implementation of programs and activities to ensure compliance with required policies, procedures, regulations, and laws, including federally mandated program requirements; ensure accurate management of training records and required background checks; collect, organize, and review documentation related to individual, group, and institutional compliance requirements, and assist in the development and/or update of policies and procedures related to compliance. Promote and build the YPP social media.

Responsibilities
  • Identify which camp individuals have not met the YPP policy requirements.
  • Ensure that designated individuals obtain the necessary criminal background checks within 30 days of the program start date.
  • Ensure volunteers are listed as unpaid affiliates in the HR system.
  • Ensure all programs have obtained camp insurance from the University of Texas System.
  • Provide ongoing/increased monitoring of youth programs.
  • Provide ongoing/increased monitoring of criminal background check requirements.
  • Provide ongoing/increased monitoring of child protection training requirements.
  • Responsible for timely communication with stakeholders.
  • Develop and deliver additional youth compliance education/presentations.
  • Conceptualize, create and manage engaging social media and digital marketing content to promote the YPP, accomplishments, and programs.
  • Collaborate with external and internal stakeholders to develop and implement a social media strategy that represents the YPP. Ensure postings are consistent and adhere to YPP standards and appropriateness of the content.
  • Manage, monitor, and grow the YPP social media channels by collecting data and analyzing metrics on social media and other digital channels to inform social media and content strategy to maximize engagement. Provide creative solutions to improve reach and foster community building.
  • Stay up-to-date with trends, technologies, and applications, both within and outside youth protection. Research, recommend, and implement third-party tools to monitor, manage and promote social media content.

Required Qualifications

Bachelor’s degree or higher plus two (2) years of related experience or an equivalent combination of education and experience. Background in the field of children and youth protection. Excellent written communication skills. Experienced and skillful public speaker. Experience training multigenerational adults. Extensive experience with Microsoft Office, emphasis on Excel. Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Experience working in an academic environment. Prior experience working with UT policies and procedures. Experience working with UT Box, Workday, Define, etc.

Salary Range

$45,000 + depending on qualifications

Working Conditions

  • Schedule could include nights and weekends and travel to other University Campuses may be required.
