Minimum Qualifications

Bachelor's degree in Business or related field and four years of related Business experience. Additional experience may be used on a one-to-one basis to offset the educational requirements. The university offers market competitive salary and benefits. Grade EF Salary Minimum $47,476

Preferred Qualifications

The preferred candidate should have experience in an executive office environment and knowledge of Higher Education administrative policies, procedures, and processes, Microsoft Suite programs, and Adobe Acrobat.?

Experience working with medical/clinical financials, comprehension of the UofL Redbook guidelines, and School of Medicine policies and procedures will be preferred.??

Position Description

This position will provide administrative and operational support to the divisions of Pulmonary, Critical Care & Sleep Disorders and Nephrology & Hypertension within the Department of Medicine as well as assist the division chiefs with financial oversight.? The primary focus will be on financial and administrative support for the divisions and their clinical counterparts (ULP, ULH, VA).

Essential Duties and Responsibilities

  • Reconcile division speedtypes in BA4 while adhering to strict university deadlines and audit/document retention policies
  • Oversee all division purchasing activities, including approving ProCard/Travel Card transactions, journal vouchers, and PeopleSoft Financials activities like travel/expense reports, pay requests, and requisitions; assist employees with learning the processes for submitting requests through PeopleSoft Financials and using University-issued ProCards/Travel Cards
  • Prepare the division budgets for review and approval by division chiefs and department finance team, monitor revenue and expense actuals for adherence?to budget, adjust division spending policy when necessary, and submit BRR/BTRs as needed
  • Manage division grants in conjunction with department research coordinator, including preparation of required reports, ensuring Principal Investigator stay on budget, and other tasks related to grant management
  • Collaborate with the HR coordinator and division coordinators on all division HR and payroll activities including funding source change PARs, creating supporting documentation for ATHs, reviewing and approving payroll, and preparing ETs to move salaries
  • Provide training and guidance to division staff and faculty on University, School of Medicine, and Department of Medicine policies and procedures
  • Participate in division/department meetings and special projects
  • Work with division coordinators to monitor and assist activities with clinical partners related to the medical practice
  • Serve as backup to other UBMs in the Admin group and supported divisions when someone is out of the office
  • Other duties as assigned
