Transit Operations Assistant

JOB TITLE: Transit Operations Assistant
CLASSIFICATION: Non-Exempt
DEPARTMENT: Public Works/Transit
SUPERVISOR: Transit Administrator and/or the Transit Manager
SALARY: $30,955 to $39,212 per Year
GENERAL JOB DESCRIPTION

To perform a professional level of administrative, reconciliation and customer service duties in support of the Transit Division. Aids other City departments as well as outside agencies. Performs day-to-day operations with a focus on efficiency and time management.
PRIMARY DUTIES AND RESPONSIBILITIES

  • Respond to inquiries from the public and internal parties, via telephone and in person, providing information and direction regarding the policies and procedures of the division and the City.
  • Attend meetings and trainings as required.
  • Manage files and documents. To include entering employee information into department computer system, scan and file employee status changes and performance evaluations. Confidentiality is mandatory. Keep division forms up to date and stocked.
  • Process daily time sheets and prepare payroll for division; record all vacation and sick time used; compile attendance and absence reports.
  • Accept monies, issue receipts, and maintain accurate record of receipts; Prepare deposits, reconcile and balance cash drawers.
  • Prepare invoices for services provided; Create requisitions for payments to be made.
  • Maintain inventory of supplies.
  • Provide general clerical support to the transit department: prepare and proofread documents, verify and review materials for completeness and conformance with established regulations and procedures. Research topics for the purpose of providing information and making recommendations in a variety of administrative areas. Update and maintain various manuals, reports and files. Transcribe and prepare minutes for meetings as well as coordinate mailings for meetings as needed.

SECONDARY DUTIES AND RESPONSIBILITIES

  • Maintain confidentiality.
  • Attend work when scheduled, on a regular and dependable basis.
  • Assist with special projects as necessary or assigned.
  • Receive, sort and distribute incoming and outgoing correspondence.
  • Maintain overall cleanliness of the office.
  • Attend and participate in professional group meetings/trainings to keep necessary skills up to date.
  • Perform other duties and responsibilities as required.

KNOWLEDGE, SKILLS AND ABILITIES

  • Knowledge of operations, services, and activities of transit division.
  • Knowledge of principles of business letter writing and basic report preparation.
  • Knowledge of practices used in minute taking, English usage, spelling, grammar, and punctuation.
  • Ability to develop and maintain effective working relationships.
  • Ability to type at a speed necessary for successful job performance.
  • Ability to operate a variety of office equipment including a computer, copier, and telephone system
  • Strong skills in problem solving and conflict resolution.
  • Ability to work in a multitask environment and to exercise reasonable judgement in decision making.
  • Strong ability to communicate clearly and concisely, both orally and in writing.
  • Work independently with minimal supervision.
  • Ability to research information and analyze data to arrive at valid conclusions, recommendations and plans of action.
  • Ability to manage multiple assignments within established deadlines and manage time efficiently.
  • Knowledge of and ability to use technology that supports Transit practices and programs.
  • Ability to solve practical problems and deal with complex situations where only limited standardization exists.
  • Understand and follow oral and written instructions.
  • Ability to interpret and effectively explain department policies and procedures.
  • Ability to maintain a positive attitude, exhibit integrity and be a positive agent for change.
  • Ability to read, write and speak English.
  • Ability to work unusual hours, split shifts, weekends, holidays, and overtime as required.
  • Ability to arrive on time to work assignments and maintain a history of satisfactory attendance.

QUALIFICATIONS FOR THE JOB

Required:
High School diploma or GED.
Preferred:
Four (4) years of technical and complex clerical experience. Some supervisory or lead experience is desirable.
PHYSICAL REQUIREMENTS

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is required to maintain effective audio-visual discrimination and perception needed for making observations, communicating with others, reading, and writing. The employee is also required to maintain physical condition necessary for operating assigned equipment, walking, standing, kneeling, repeated bending or sitting for prolonged periods of time and lifting to 30 pounds. Maintain mental capacity which allows the capability of making sound decisions demonstrating intellectual capabilities.
