Job Description

The Executive Administrative Assistant provides administrative support to the Executive Director and Department Directors. The Executive Administrative Assistant is responsible for the day-to-day business of the office and is expected to carry out multiple administrative duties and provides exemplary communication between executive office, management, and the Board of Directors. The Executive Administrative Assistant oversees key Human Resource functions and reports to the Executive Director.

The successful candidate will be able to help build intercultural understanding and demonstrate multicultural perspectives that can foster a diverse and inclusive community. Candidates must have a professional and positive attitude towards their work and support the mission and goals of The Center for Hearing & Speech.

Essential Duties and Responsibilities

  • Maintains a broad knowledge and understanding of the organization’s operations, mission, and relationships.
  • Generate and manage excellent communication via multiple platforms including telephone, mail, and internet.
  • Manages the processing of payroll, and assist in the recruitment and onboarding processes, benefits enrollment and administration, employee record keeping, and training administration.
  • Orients new employees by providing personnel information packets; reviewing company policies; gathering withholding and other payroll information; explaining and obtaining signatures for benefit programs.
  • Track/Maintain all licensing for company and ensure current compliance training for all employees.
  • Serve as the HIPAA Privacy Officer and provide access to HIPAA training for all staff.
  • Supports and manages the Executive Director’s engagement with key community organizations.
  • Serves as the liaison for the Executive Director’s activities, developing briefings, and coordinate communications.
  • Work closely with all members of the leadership team to ensure appropriate context and message coordination for the Executive Director’s remarks and correspondence.
  • Develops supporting material, including briefings, and works with the Executive Director to ensure timely and effective communication regarding organizational projects and priorities to internal and external constituents.
  • Support the Executive Director in their communications with the internal and external audiences. Including the organization of meetings, sending reminders, and coordinating catering when necessary.
  • Collect data to prepare reports and documents for committee and full board of director meetings.
  • Record, transcribe and distribute minutes of committee and full board of director meetings.
  • Manage and maintain the Executive Director’s schedules, appointments and travel arrangements.
  • Manage expense reports and expense reimbursements.
  • Maintain electronic and hard copy filing systems.
  • Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
  • Resolve administrative problems.
  • Other duties and responsibilities may be assigned by management.

Professional Qualifications

  • The ability to maintain confidentiality and adhere to ethical principles regarding data and information obtained as part of their professional duties.
  • Excellent conceptualization, presentation and communication skills to effectively execute change.
  • Able to organize, prioritize and manage multiple tasks, responsibilities and deadlines; is able to follow through and accomplish goals, manage expectations appropriately and use organization’s resources efficiently.
  • Understanding and knowledge of Human Resources department functions strongly preferred.
  • Desire to work in a team-oriented culture and contribute substantially to the mission of the Center.
  • Must have the ability to incorporate creative approaches to various projects by taking initiative and working independently.

Education and Experience

  • Bachelor's (Preferred)
  • Minimum Required: 3+ years' experience supporting senior management.

Job Type: Full-time

Pay: $22.00 - $24.00 per hour
