Job Description
This position provides event support to the Office of Development and Alumni Engagement, while the Director of Development and Alumni Events is on maternity leave. This position will report to the Associate Director of Development.
The successful candidate will be service oriented and assist in all facets of registration for events including all event logistics, webinar logistics and assisting others when needed.
The ideal candidate must be highly organized, able to multi-task, and have strong communication skills. They should demonstrate qualities of initiative, organization, and teamwork. Ability to interact effectively with high-level volunteers, University president, and the University’s highest-level donors and prospects. The ideal candidate also must be able to juggle a high volume of event activity, while executing all events with precision and excellence.
25 – 30 hours, with additional hours during peak event periods. Some weekends and evenings are required.
Responsibilities/Essential Functions
- Support premier events for alumni relations and development including pre- and post-event logistics (in-person and webinar); serving as a liaison with campus partners and vendors; event staffing and other related logistics.
- Manage event planning, coordination, and execution for all aspects of development and alumni engagement events (catering, venue, rentals, transportation, etc.) of varying size and scope, both on campus, off campus and virtual.
- Partner on events with the Stevens Alumni Association and regional clubs.
- Collaborate with Division Directors on event briefings, timelines and ensuring event goals are being met.
- Develop staffing plans and coordinate volunteers for all events. Oversee all event staffing on-site, which includes occasional (sometimes frequent) evenings and weekends.
- Update and maintain Development and Alumni Master Events Calendar, including events hosted by President’s Office.
- Create and maintain all event records in Raiser’s Edge. Serve as liaison with Presidential Calendar and University Calendar.
- Update Divisional Events webpage.
- Support other university events, where DAE is a partner, as needed.
- Manage expenses, adhering to budget and ensuring vendors receive payment on time.
- Collaborating with Major Gifts team to ensure event goals are being met and tracking post-event analysis.
- Manage online event registration, including set up in the database through tracking RSVPs, creating registration pages in Blackbaud NetCommunity and providing attendee reports.
- Administrative support, including data integrity for registrants, nametags, customer service, and other duties as assigned
Required Qualifications
- They should have 5 years of demonstrated experience in successful special events planning, preferably in a fundraising and/or higher ed environment.
Preferred Qualifications
- Experience managing events using a relational database such as Raiser’s Edge.
