The Talent Specialist partners with the Regional Employment Team (recruiters, coordinators, hiring managers and candidates) to develop seamless and positive experiences throughout the employment process. The Talent Specialist is the lead resource for large scale contingent hiring, employment issues (compliance, and HCM). This individual must be a creative, high energy, a hands-on professional with impeccable organizational skills, and successful multitasking abilities in a fast-paced environment. Must be able to build strong business partnerships with recruiters and candidates. The Specialist must provide friendly, excellent service to internal and external customers and perform special assignments and related duties as assigned.
ESSENTIAL JOB FUNCTIONS:
- Manage Contingent Workforce Employment Program (dispatch, processing, hiring)
o Coordinate resources and design processes for large-scale Contingent Worker hiring
- Recommend and assist with business constraints by contributing to continuous improvement efforts for employment processes (automation, re-design, etc…)
- Recommend reporting needs and assist in maintenance of Business Intelligence Reports
- Ensure New Hire Audit findings are resolved in an effective and efficient manner to prevent payroll issues for new hires
- QA all CET requisitions to ensure job mapping is completed, required data fields are provided and accurate, assign requisitions to Employment Specialist
- Manage all Pre-Employment (I-9, Drug Test, Education, Background) requirements:
o I-9 - Ensure accurate completion, verification and submission of document no later than 3 days after Start Date
o Drug Test - (Re)Issue and Ensure Drug Test is submitted (LV Region) or Clear Results (Corp) prior to Start Date.
§ Review, communicate and execute follow-up actions for “Failed” results.
o Education Requirements (Corp) - Review, Validate and Acquire Education requirements against Job Description for all candidates
o Background - Issue, Review and Acquire all Background results/information for candidates.
§ Assess and provide recommendation to Employment Leadership on next steps
- Collaborate with HRIS team and provide updates made by the USCIS and Nevada Gaming Control Board on legal compliance matters with Caesars Entertainment, federal, state and gaming laws & policies.
o Resolve Gaming issues for candidates and ensure completion of Gaming requirements
o Maintain Required Documents Reference Listing and ensure work cards are acquired and uploaded into HCM for candidates
- Provide resolution for all Co-Existence issues within HCM/ATS
- Collaborate with HRIS Team on system enhancements required to meet business needs
- Lead all job code mapping requirement of new Job Code/Positions in for ATS/HCM
- Develop and execute mass hiring (processing) strategy for large volume events to meet business needs
- Consolidate, validate and submit all Travel Expenses for out-of-state Candidates
- Provide Front Counter support as needed
- Provide effective and efficient support for all Employment activities listed below:
o Review all extended offers received via Taleo to coordinate processing of candidates.
o Schedule candidates for processing and new hire orientation
o Ensure all onboarding documents are accurate and completed in a timely manner
o Ensure all offer letters are created and submitted accurately to the respective approvers. Offer letters will be reviewed prior to submission to ensure accurate job title, wage, grade, and relative benefits associated with the position.
o Ensure all relative licenses required for the job are identified, communicated to the candidate, collected, and recorded
o Order pre-employment drug tests and report on pre-employment drug testing results. Performs appropriate follow-up action on candidates who have failed or not completed pre-employment drug testing.
o Order the pre-employment background check and report background results that require additional follow up. Performs appropriate follow-up action on candidates who have not completed background.
o Responsible for ensuring timely completion of onboarding documents and communicates directly with Recruiters any changes to candidate start dates
o When preparing new hire packets - check rehire status, identify required work cards/licenses, identify hire type and appropriate hire status
o Verify rehire eligibility for all previous Caesars Entertainment employees and requests follow up from the Recruiter if any issues arise based on rehire results.
o Conduct and facilitate processing sessions
o Process new hire paperwork, checking for accuracy and completeness.
o Welcomes all candidates to the Employment Center and demonstrates an upbeat and positive, professional demeanor at-all-times.
o Provide accurate information and support to applicants.
o Communicate and collaborate with Employment Specialists on all topics relevant to active candidates
o Develop relationships with Recruiters to ensure excellent customer service.
o Ensure consistent, high-quality service standards are maintained in the Employment Office.
o Ability to work in a fast-paced customer service, multiple tasks, decision making and demonstrated team interaction.
o Provide information and excellent customer service to internal and external customers.
o Maintain confidentiality of all applicant and employee information.
QUALIFICATIONS:
- Proven work experience as a Talent Coordinator within a high-volume employment organization
- Must be 21 years of age or older.
- High School Diploma required. College degree preferred. Any combination of education, training or experience that provides the required knowledge, skills and abilities.
- Ability to obtain/renew all government required licenses or certification, specifically a Nevada Gaming License.
- 2 - 5 years Human Resources experience preferred
- Previous hotel/casino experience preferred.
- Must have strong attention to detail
- Previous experience working with employment documents required.
- Computer literacy in Microsoft Office products, HRIS, and Applicant Tracking Systems (preferably Oracle HCM and Taleo).
- Experience with Reporting Tool (Business Intelligence)
- Must be able to work independently.
- Must be able to work flexible hours, including evenings and weekends
- Ability to read, write, speak and understand English.
- Must be able to meet the attendance guidelines of the job and adhere to departmental and company policies
- Must be able to type 45 wpm.
- Must present a well-groomed appearance.
- Must be able to initiate and engage in conversation in a professional and friendly manner.
- Must be willing and able to learn new skills and tasks quickly.
- Must possess excellent telephone etiquette skills, customer service, organizational and communication skills.
