Job Description

General description:

The Supervisor or Assistant Manager (Manager on Duty) is part of the Store Management team and is responsible for the daily planning, organization and follow up of all sales and operations activities within the store. Reporting to the store manager, the MOD will have exceptional organizational skills and have the confidence to motivate and inspire the team to maximize the store’s sales and operational performance.

The sales floor supervisor also demonstrates the ability to sell and provide excellent customer service, and has the knowledge of the company’s products, be sales oriented and customer focused. He or she has the ability to drive sales and rally the sales team to work together to achieve the Company’s budget and goals.

Key Tasks

1. General management

  • To support the Store Manager in delivering monthly sales budget
  • Schedule and oversee work hours of sales staff based on allocated budget. Ensure shop floor cover is maintained at all times of the work day
  • To ensure the highest level of customer service standards are met and staff grooming and presentation is up to company and brand standards
  • To be responsible for the daily organisation and control of the sales team, and the planning, delegation and completion of required tasks within the agree time frames
  • Deputize for the manager in the absence from business
  • Compile and submit visual merchandising report to store manager on a timely basis
  • Compile and submit the following POS generated reports on a timely basis
  • Sales report daily to company owners and manager
  • Timesheets to the manager on the 16th and 1st of each month
  • Other reports (e.g. disciplinary reports, incident reports, report cards, attendance reports, etc.)
  • Purchase store supplies as needed using petty cash fund
  • Maintain an open line of communication with sales staff and management
  • First in line to cover shift in the absence and call outs of sales associates
  • Take part in scheduled/periodic management meetings and calls

2. Human resources

  • Carry out team meetings at agreed times, ensuring staff is aware of tasks/targets to be achieved and their performance up to standard
  • To assist the manager in the maintenance and upkeep of staff information and communication boards
  • To be involved in the recruitment and selection of staff (as required)
  • Identify training needs and ensure that all staff are adequately trained in procedures and processes
  • Conduct performance reviews for sales staff mid-year, end of year and periodically as required
  • Report and manage minor performance/behavior issues and take disciplinary actions in accordance to company guidelines and procedures

2. Customer service and sales

  • Supervise employees engaged in all aspects of sales work. Motivate/coach all employees to perform at their best, maximize sales and achieve sales budgets
  • Greet customers, ascertain their needs, and provide a superior customer service experience by meeting the Company’s Service Standards.
  • Achieve excellent sales by meeting/exceeding individual sales target and contributing to store budget
  • Maintain knowledge of and promote sales and promotions to customers
  • Be knowledgeable about the brand and its merchandise and recommend, select and locate merchandise based on customer needs and desires
  • Answer questions regarding the brand and its merchandise and provide training to staff
  • Describe merchandise and explain use, operation and care of merchandise to customers
  • Ticket, arrange and display merchandise to promote sales.
  • Assist in the visual merchandising of store products according to brand standards and guidelines
  • Have the authority to provide discretionary discount of up to 10% on last items and damaged items

2. Cash register

  • Supervise store opening and closing, ensuring company guidelines and security practices are followed
  • Open and close cash registers, performing tasks such as counting money, separating charge slips, gift certificates, balancing cash drawers, and making deposits.
  • Have responsibility over the security of cash and credit card slips received in store, ensuring till is cashed up and balanced at the end of day
  • Perform and train staff on proper cash handling skills (including learning how to use POS and the credit card terminal.
  • Create purchase orders provided by Manager and receive stock during inbound shipments. Ensure quantities are checked and balanced with original invoicing and purchase order.
  • Prepare merchandise for markdowns by calculating sale price and making price adjustments on POS and on price tags
  • Maintain knowledge of current sales and promotions, policies regarding payment and exchanges
  • Prepare sales slips or manual sale slips.
  • Compute sales prices, total purchases and receive and process cash or credit payment.
  • Conduct exchanges for customers
  • Accept returns for customers

3. Security, Stocking and House Keeping

  • Lead, count/log daily inventory based on company procedure and produce report to Manager
  • Lead, count/log monthly inventory based on company procedure and produce monthly report to Manager, flagging and reconciling any discrepancies
  • Supervise the maintenance of house-keeping, maintenance and organisation on the shop floor and in the stock room
  • Watch for and recognize security risks and thefts, and know how to prevent or handle these situations.
  • Ensure adequate stocking on the shop floor and be ready to sell
  • Assist in the processing, stocking and display of new merchandise once shipments are received by Supervisor/Manager

Qualifications

  • Education/Experience: 5+ years of work experience. Previous retail sales experience in a leadership capacity preferred, but not required.
  • Communication Skills: Strong interpersonal and communication skills. Ability to read, write, and interpret instructional documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to effectively communicate with customers, peers, and management with proper etiquette. Ability to communicate on the telephone with proper etiquette.
  • Mathematical Skills: Basic math functions such as addition, subtraction, multiplication, and division. Ability to use a calculator and calculate percentages and ratios. Be able to convert foreign currency.
  • Reasoning Ability: Ability to multi-task, while being attentive to customers and remaining flexible to the needs of the business. Ability to work as part of a team and take initiative independent of direct supervision.
  • Computer Skills: Ability to operate a PC and use POS software. Can perform basic computer and keyboarding tasks
  • Physical Demands: This position involves constant moving, talking, seeing, hearing, reaching, grabbing (of merchandise) and standing for long periods. May occasionally involve stooping, kneeling, crouching, and climbing ladders. Involves lifting between 30 and 50 pounds.
  • Other Skills: Highest level of honesty and integrity. Enthusiastic, friendly, and energetic with a genuine desire to provide outstanding service. Have a passion for fashion and be a great brand ambassador.
  • Language Skills: Strong command of spoken and written English. Additional language skills (Japanese, Korean, Chinese preferred but not mandatory).
  • Work Hours: FULLY FLEXIBLE and able to work all weekdays, weekends and public holidays. Available to work a variety of hours, which may include early mornings, evenings, weekends, and overnight shifts. Fully on call at all times of day in case of store emergencies. Dependable and punctual.
