Job Description
General SummaryThis position plans, directs, controls and supervises the overall financial, operational and functional activities of assigned physician practices within MidMichigan Health, assists in the short and long-term planning of assigned practices to maximize growth, efficiency, profitability and maintenance of the practices. Manages the day-to-day practice operations to ensure compliance to all organizational and department policies and procedures follow Occupational Safety and Health Administration (OSHA) guidelines, Clinical Laboratory Improvement (CLIA) regulations, and all appropriate regulatory agencies. The Medical Office Supervisor will be responsible for scheduling and processing worked hours for pay; will assist in the annual budget process; and may have responsibility for patient record transfer and retention process. They will oversee the training and evaluations of any employees, students, and float staff. They serve as administrative representative, patient advocate and employee counselor to ensure maximum patient access and quality care as well as effective team functioning. Participates in interdepartmental, intersystem and external committees, meetings and activities to promote the mission, values and business of MidMichigan Health.
Essential Duties & Responsibilities
  • (50%)* Provides patient care in the capacity of their primary role.
  • (20%)* Responsible for hiring, disciplining and discharging employees within the practice according to MidMichigan Health policy. Responsible for written job performance reviews for all employees with input from the providers. Supervises all non-clinical and clinical staff to assure high quality patient care. Works closely with MidMichigan Physicians Group (MPG) Administrative VP/Regional Director and/or Practice Manager and HR Strategic Partner as the human resource contact/liaison. Acts an advocate for system and departmental goals and objectives.
  • (15%)* Together with MPG Administration and the physicians develops and implements short and long term planning growth and development of the practice. Maximizes efficiency and cost effectiveness of the practice through continuous review and improvement of practice policies and procedures and overall operations.
  • (10%)* Coordinates staff provider meetings. Attends MidMichigan Health meetings, as assigned and provides communication to staff and providers of policies and topics covered at those meetings.
  • (5%)* Utilizes the payroll system, manages staff schedules; inputs staff time off requests and approves employee hours in preparation of the biweekly payroll process.
OTHER DUTIES AND RESPONSIBILITIES:
  • Provides for the proper maintenance of the physical plant and its main operating systems.
  • Arranges for the procurement and maintenance of all office and medical equipment.
  • Understands necessary computer functions in the office setting: Electronic Medical Record, Practice Management, disease registry, dictation systems, and any other necessary programs to assist providers and staff.
  • Demonstrates professionalism and courtesy at all times toward all employees, providers and associate staff with MidMichigan Health.
  • Oversees staff to assure that proper customer service skills are being utilized by all staff.
  • Assists in the annual budget process and planning.
  • Problem solves in areas concerning patients, providers, physicians, employee relations and/or practice operations.
  • Responds to all formal patient and/or staff complaints.
  • Identifies and communicates any potential business opportunities to expand/enhance practice services and market share.
  • Miscellaneous duties as assigned, including, but not limited to, committee membership and special projects.
  • Coordinates record retention of chart storage, retrieving patient medical records as needed.
  • Understands other duties of staff within the practice they are assigned.

EXPERIENCE, TRAINING AND SKILLS:
  • Three to five years of experience in a healthcare system with emphasis on management and human resources.
  • Working knowledge of the organization’s Lawson and Kronos computer programs. Also, be proficient in Word, Excel and Power Point.
  • Knowledge of medical office policies, practices and procedures as normally acquired through three to five years working in the healthcare system or similar setting.
  • Excellent interpersonal skills needed to communicate successfully with individuals and interact with people at all levels to communicate concepts in a clear and understandable manner.
PHYSICAL/MENTAL REQUIREMENTS AND TYPICAL WORKING CONDITIONS:
  • Exposure to stressful situations, including those involving public contact, as well as, trauma, grief and death.
  • Able to wear personal protective equipment that includes latex materials or appropriate substitute if required for your position.
  • Is able to move freely about facility with or without an assisted device and must be able to perform the functions of the job as outlined in the job description.
  • Overall vision and hearing is necessary with or without assisted device(s).
  • Frequently required to sit/stand/walk for long periods of time.
  • May require frequent postural changes such as stooping, kneeling or crouching.
  • Some exposure to blood borne pathogens and other potentially infectious material.
  • Must follow MidMichigan Health bloodborne pathogen and TB testing as required.
  • Ability to handle multiple tasks, get along with others, work independently, regular and predictable attendance and ability to stay awake.
  • Overall dexterity is required including handling, reaching, grasping, fingering and feeling.
  • May require repetition of these movements on a regular to frequent basis.
  • Physical Demand Level: Light. Must be able to occasionally (0-33% of the workday) lift or carry 11-20 lbs., frequently (34-66% of the workday) 10 lbs. and or Walk/Stand/Push/Pull of Arm/Leg controls.
