Job Description:
The Student Affairs Coordinator performs a variety of duties associated primarily with Student Services, as well as Financial Aid duties. Primary functions include guidance with institutional policies to comply with federal, state and accrediting regulations with an emphasis on providing optimum customer service and student success.
Essential Duties and Responsibilities include:
- Available, as needed or by appointment, to attend to, coordinate, and administer services to students, staff, and all internal and external customers and clients
- Assist in prevention, evaluation, and resolution of student issues, inquiries, and problems, and ensure appropriate action is taken to the satisfaction of the student, InterCoast, and regulatory agencies in compliance with policy, procedures, and legal requirements
- Establish, maintain, process, and update records, files, certificates, and/or other documents
- Assist and coordinate academic advising and student support services
- Greet new students; sign in new student on their first day
- Conduct new student orientation, as needed
- Enter new student files into the Diamond D (DD) data base
- Process graduate and drop files within the guidelines of the institution
- Generate and distribute Acceptance letters/certificates
- Issue Student ID cards
- Enter grades into Diamond D (DD) data base
- Process and track High School transcript request forms
- Track academic progress for Ability to Benefit (ATB) students, in conjunction with the Campus President
- Maintain student records and filing
- Track Academic Probation and Attendance Probation, in conjunction with the Campus President
- Issue Requests for Leave of Absence forms, submit to Campus President for approval
- Maintain tracking of Leave of Absence (LOA) students
- Perform and document SAP (Satisfactory Academic Progress) Advisements and Appeals, and prepare Academic Plans
- Conduct Student Services Exit with students
- Notify all concerned departments of any student status changes
- Attend instructor meetings and administrative meetings, as assigned
- Assist the Campus President in filling out book order forms and assuring that books, supplies and uniforms are ordered on time and appropriately to programmatic and student needs
- Establish and maintain up-to-date lists or binder of community based resources; including transportation, child care, housing, counseling, heath care, social services, shelters, support and self-help groups, mental health, disability, non-profit organization, emergency food, financial assistance, etc
- Plan and assist in executing all graduation ceremonies, student appreciation events and student work-shops
- Drive student retention by tracking daily, weekly, and monthly reports
- Call absent students and document result on Student Counseling Record and in DD Database on a daily basis
- Update the student “Wheel” to track student program progress
- Drive student re-entry and re-start activities
- Conduct prelims/packaging and complete any necessary FA forms for campus students, as needed
- Recommends to the supervisor proposed policy and operational changes in order to insure efficiency and maximum productivity in the operation of the corporate financial aid department
- Works with the corporate office to insure that all exit and entrance interviews are conducted per regulation
- Maintain updated addresses, emails and phones on all financial aid recipients and keeps corporate financial aid informed of any changes
- Assists with any audits conducted
- Attend conferences and seminars to remain current in regulations and technical changes affecting student affairs
- Participate in trainings and conference calls held by InterCoast
- A minimum of 10 hours per week are required for telephone coverage and other basic front desk administrative duties as assigned. These hours may fluctuate based on the needs of the campus

QUALIFICATIONS:
1. A minimum of three years Financial Aid and/or Student Services experience is preferred
2. Typing speed of at least 35 words per minute
3. Basic computer skills (Outlook, Word, Windows, etc.)
4. Availability to work evenings and Saturdays is required
5. Excellent customer service skills with motivation and enthusiasm with a sensitivity to student needs
6. Due to required access to Financial Aid systems, individual cannot be in default on student loan or overpayment on grants
