Ensures that the nursing staffing needs are fulfilled for each shift as well as maintains timekeeping and time off schedules. Through effective communication and an understanding of the Nursing Department, facilitates and maintains the smooth operations of the office.Responsibilities: 1. Organizes and creates work schedules for all Nursing Team Members.
2. Creates and maintains daily staffing reports to verify work hours and time off.
3. Assists Payroll to verify payroll accuracy by supplying and confirming accurate attendance information.
4. Processes Team Member vacation requests in timely manner and ensures that substitutes are available for shift(s).
5. Processes Team Member Action Forms (MAF) in timely manner.
6. Consults with nursing areas and related departments to ensure staffing needs are fulfilled.
7. Monitors time cards to track attendance and punctuality of nursing department personnel on a consistent basis and submits to Payroll in accord with pay date schedule.
8. Manages callouts and scheduling.
9. Maintains files and documentation in accordance with Privacy Laws and Policies.
10. Maintains supplies inventory of medical supplies for Nursing Department and orders necessary supplies, as required.
11. Reports issues and concerns to Assistant Director of Nursing.
12. Answers telephone, screen calls, refers to appropriate as required. Calls are answered personally, courteously and timely.
13. Participates on Company committees as requested by supervisor.
14. Visually verifies all licenses and identification cards and certifies current status.
15. Completes administrative processes accurately and timely.
16. Communicates effectively with employees to ensure positive resident outcomes.
17. Provides orientation information to all new team members. Take a pro-active role in facilitating the smooth operation of the office.
18. Regularly reviews office procedures and implements revisions as appropriate.
19. Consistently performs duties with little or no supervision. Displays resourcefulness in completing work in a timely manner.
20. Additional duties as required.

1. Regular contact with Team Members in Nursing Department, Medical Center personnel, patients & visitors.
2. Regular contact with Administrative Staff for Payroll, Human Resources, and policy issues.
Qualifications: Knowledge, Education and Skills Required:
1. Proven experience as Staffing Coordinator/Nursing Secretary or similar position.
2. Ability to maintain confidentiality.
3. Solid knowledge of relevant legal regulations (e.g. EEO, Visa procedures, Wage & Hour laws).
4. Outstanding organizational, communications, and interpersonal anilities.
5. Thorough knowledge of Privacy laws and policies.
Knowledge, Education and Skills Preferred:
1. Bi-lingual (Spanish)
2. Experience with on-boarding and other HR/Employment related procedures.
