Staff Assistant II / Administrative Support

Our program management professional service, POWER360®, provides for successful collaboration on our major projects and programs. We are seeking a talented Staff Assistant / Administrative Support to join our Portfolio Management Information Solutions (PMIS) team.

This position is posted in Houston, Texas; but can work remotely from any location in the U.S. (Please note where you will be in the application).

Roles and Responsibilities

This position will perform administrative support tasks, varied duties, and assignments by established processes and procedures. This role will heavily support the PMIS Department manager in addition to supporting the rest of the POWER360® team.

  • Perform general office tasks: answer phone, ship packages, book conference rooms, order catering services, etc.
  • Provide direct or indirect assistance to managers and other departmental personnel
  • Provide a high level of document control such as typing transmittals, letters and documents, quality control documents, managing electronic files, closing projects, and the overall organization of ProjectWise projects
  • Schedule and coordinate project meetings, take meeting minutes and provide project administrative support
  • Ensure team is following documents/records procedures via ongoing communication and training
  • Assist with travel arrangements and expense reports
  • Submit purchase requisitions for vendors or supplies
  • Assist in new employee orientation
  • Assist with invoice/expenses reconciliation
  • Maintain consistency with POWER administrative practices
  • Perform other related duties as assigned
  • Occasional travel to attend training and business-related meetings
  • Occasional customer service for the PMIS collaboration tool
Required Education/Experience
  • High School diploma required
  • Two (2) + years experience in an office or engineering environment
  • Proficiency in Microsoft Office applications including, but not limited to Word, Excel, PowerPoint, and Outlook
  • Excellent communication skills, both written and verbal
  • Excellent time management skills and ability to prioritize work
  • Strong attention to detail
  • Ability to work in a fast-paced environment
  • Self-motivated and ability to work as part of a team
Desired Education/Experience
  • Associates degree in Business Administration and/or related field experience
  • Three (3) + years experience in administrative support or clerical role is preferred
  • Proficient in Microsoft Office Visio, Project, Adobe, Teams, and Bentley ProjectWise software
  • Accounting experience is a plus (PMA experience)
