KIPP NYC Public Schools is a non-profit network of free, public charter schools that prepares students for success in college and life. In 1995 we started our first middle school, KIPP Academy, in The Bronx. Our goal was to graduate students with the strength of character and academic abilities needed to succeed in high school, college and beyond – and in so doing, to prove what is possible for all students. Today, our New York City network is comprised of eight elementary schools, nine middle schools, one high school, and KIPP Forward, a comprehensive support program for our alumni. KIPP NYC Public Schools currently serves more than 9,350 students and alumni and has a staff of more than 850. KIPP NYC is continuing to grow and opened two new middle schools and an elementary school August 2021!
Job Description
Position Overview
The Special Assistant to the President & Regional Leadership Team has a critical role and will report to the Chief of Staff. You will support the Leadership Team and the execution of their organizational vision by scheduling meetings, managing logistics, and creating presentations and communication materials for various stakeholders. You may also execute special projects on behalf of the Chief of Staff, regional leadership team, or Shared Shared Services team.
General Responsibilities and Duties (but not limited to):
Administrative
- Manage the calendar of the President and Superintendent, including external appointments
- Provide general administrative support including purchasing, receipts processing, travel booking, and expense reimbursement for the President, Superintendent, and Chief of Staff and others as requested
- Manage the behind-the-scenes technology for virtual meetings, including hosting Zoom meetings and webinars for meetings, panels, and town halls.
- Manage the in-person logistics for large meetings including Board meetings, Working Groups, and professional development sessions
- Prepare written materials for a range of stakeholders, including Regional Leadership, KIPP NYC Board, regional staff meetings and network-wide communications
- Execute special projects as assigned by the President, Superintendent, or Chief of Staff
Leadership Support and Meeting Preparation:
- Develop high-quality PowerPoint presentations and other written materials for Board, Principal, and Regional Leadership team meetings and in support of the President, Chief of Staff, and leadership team members
- Create surveys and analyze data to produce data-driven presentations and reports
- Provide advance and day-of logistical support for KIPP NYC Board meetings, regional shared services team events, network-wide professional development days, and external visits, including coordinating with vendors and venues, preparing materials, and notetaking
- Provide support for other additional tasks that facilitate team and cross-team efficiency, and improve how we work with schools
Qualifications
- 3+ years work experience
- Bachelor degree required
- Familiarity with all MS office products (Outlook, Excel, Word), G-Suite products (Google Docs, Google Sheets, Google Forms), and Zoom functionality. Familiarity with video editing is preferred but not required.
- Strong interpersonal skills, with the ability to develop productive working relationships with multiple stakeholders across the organization
- Meticulous attention to detail with an ability to produce high quality work in a dynamic, fast-paced environment
- Ability to exercise discretion and judgment with the handling of highly sensitive and confidential information
