Job Summary
The overall purpose of this position is to be the staff lead and primary Society contact related to day-to-day business operations of the assigned Society Executive Office including, but not limited to, scoping and implementing the decisions of the Society Executive Committee/Administrative Committee and providing direction to the Society Staff Team. Key responsibilities include growing revenue streams for the Society and changing business models when necessary. This position typically reports into a Senior Director and manages one direct report. The incumbent will work under minimal guidelines.
The position focuses on developing a strong partnership with the Society volunteer leadership and provides continuity, guidance and planning. In support of the volunteer leadership, this role drives society initiatives, interacts with Technical Activities and IEEE activities, and acts as a conduit between the society and other IEEE Organizational Units. This position will direct and manage the day to day business operations and administration of the Executive Office, collaborate with Society volunteer leadership and carry forward the decisions of its Executive and Administrative Committees. The role assists the Society Executive Director in executing strategic planning, manages Volunteer Leadership meetings, Society needs at IEEE Meeting Series, events/conference management (5+ per year), publications planning, manuscript processing, Society publications content and other intellectual property products, e-newsletter production, membership, agreements and MOUs with IEEE and non-IEEE entities, chapter development, education, industry interaction and outreach, grant processing, technical community support (12+ Technical Committees), awards support, social media and website management.
This position, along with the Society VP Finance, develops and forecasts the annual budget. The candidate will assist the President and VP Finance in maintaining financial health of the society by effectively managing a multimillion dollar budget that supports thousands of worldwide members. The candidate will provide both direct and indirect operational support to over large Volunteer Leadership Groups, multiple traditional scientific conferences, and Technical Committees of the Society
Key Responsibilities
- Provides strategic planning efforts for trial ideas, nurtures them, and provide creative solutions. Assure timely and appropriate communications of key issues and strategies to all stakeholders. Provides success analysis and makes determinations of supporting key programs.
- Provides broad-based operational support and business management for a $4.0 million dollar global business enterprise
- In collaboration with volunteer leadership, ensures excellence in strategic, operational, and financial planning; actively provides advice and counsel to volunteer and professional staff leaders
- Develops strategies to increase brand awareness and organizational reputation
- Ensures excellence in communications to members and volunteers, as well as staff and all customers
- Ensures financial and operational health for the Society, including a focus on risk management
- Guides Society Officers and Conference Volunteers to intended outcomes by sharing best practices and insightful analysis
- Encourages and maintains a Society-wide commitment to legal and regulatory compliance and embodies the highest caliber of ethical behavior
- Manages all staff aspects of ExCom/AdCom/Committee and Board meetings
- Serves as a subject matter expert on Society Governance
- Identifies new opportunities, tools and services to advance the society strategic vision, and partner with internal and external stakeholders and vendors to manage projects to implementation
- Leads communications planning and determine appropriate outreach of new and changing policies, and new service offerings
Qualifications
Education
- Bachelor's degree or equivalent experience BA in Organizational Development, Non-Profit Management, Business, Sociology, Anthropology, Marketing or related fields Req
- Master's or other advanced degree commensurate experience, or other advanced degree in Business Administration, Non-Profit Management, Organizational Development or other related field helpful Pref
Work Experience
- 4-7 years experience in related fields Req
- Experience managing projects, people or cross-organizational teams Pref
Skills and Requirements
- Must demonstrate strong interpersonal skills, presentation and language skills, reporting skills, and organizational discipline.
- Must demonstrate ability to work executive management level clients, customers, or volunteers.
- Must have the ability to identify, analyze and resolve business challenges stemming from the following: o Surplus-loss ratio while managing packaged intellectual property products o Improving financial, operational and strategic management of the Society o Creating and sustaining effective relationships among entities within the Society and TAB o Establishing management and process continuity in an environment in which volunteer leadership changes often
- Must have strong written communication skills; Expected to routinely write reports, correspondence, e-mail, and Web content pages that impact the course of the Society’s business as well as budgets, agendas, minutes, presentations, proposals
- Must be able to verbally articulate ideas and opinions and have the ability to present informative and persuasive speeches, addresses, and program findings before audiences comprised of staff, volunteers, media, industry leaders, and the general public
- Must have excellent interpersonal and human relations skills; Working well with volunteers. Building and maintaining volunteer relationships is a crucial requirement of this position; Must build and sustain productive and enjoyable working relationships with a multi-disciplinary staff; will also have frequent contact with vendors and consultants, TAB, IEEE officers and board members, customers, members, attorneys, subject-matter-experts, and product developers
- Must be technically savvy individual who seeks technology solutions for business challenges; Specific technical knowledge and experience needed to produce desired outcomes include the following: Microsoft Office Suite products, Google products (Gmail, Google drive, Google Apps, etc.), Smartsheets, Oracle, OBIEE, HTML, Joomla, Social Media tools, relational databases, association management systems with financial models, and statistical analysis tools
- Must be willing to be a hands on manager that will work with the team during times of need to accomplish a task.
- Overnight domestic and international travel required 10% or more , Must have valid travel credentials
