Position Purpose:

The Shipping and Receiving Clerk and Helper coordinate and oversee all daily operations related to shipping and receiving. This process includes re-packaging as needed, counting, weighing, and identifying items, as well as checking materials against purchase orders, job orders, customer orders and packing slips. Recording damaged or defective items includes tracking time, date, quantity, source, and destination of materials received or shipped as needed. Between the Clerk and the Helper, departmental responsibilities are required to be completed in a timely manner each day.

Essential Duties and Responsibilities:

Shipping and Receiving Clerk:

  • Unpacks, receives, and labels incoming material and verifies against approved vendor list.
  • Updates purchase order receipts using system database. Reconciles any purchase order discrepancies with buyers.
  • Stocks inventory received against purchase orders and updates systems.
  • Distributes company packages internally.
  • Occasional customer deliveries or vendor pick-ups.
  • Report damages and discrepancies for purchasing and accounting reimbursements and record-keeping purposes.
  • Ensure incoming deliveries are accurate. Analyze and resolve receiving discrepancies.
  • Locate, stock, and deliver items to their destination upon request.
  • Check order forms to packing slips.
  • Count and stock all receivables in stock room locations.
  • Processes shipments by printing packing slip, pulling the material, getting pre-box QC and transacting using SyteLine. Process shipment based on the shipping method referenced on the packing list.
  • Coordinate all painted parts incoming and outgoing to paint.

Shipping Helper:

  • Band pallets, pull pick lists for shipping, calling in shipments as need.
  • Receive and unpack material and supplies.

Shared Responsibilities:

  • Constant email and phone communication with external shipping clerks to schedule deliveries and pick-ups.
  • Keep the warehouse in neat and orderly condition. Ensure a clean and clear work area on a normal basis.
  • Maintain accurate inventory in SyteLine purchased items.
  • Frequently moves around in departments and buildings to interact with others.
  • Have in-depth knowledge of work processes and tools within own area and is aware of internal/external business issues.
  • Print and adhere to customer order shipping schedule.
  • Print and pull customer orders pick list.
  • Stock inventory received from production.
  • Frequent loading and unloading of delivery trucks, either in a team or alone.
  • Keeping the shipping dock clear of debris and safety concerns.
  • Verifying that we practice first in, first out (FIFO) with all Materials at all times.
  • Follow and practice safety procedures.
  • Other duties and responsibilities to be assigned as needed.
. Requirements:

Experience, Qualifications, and Skillset Necessary:

  • Ability to operate fork lift, pallet jack, and manual bander required.
  • Read, write, and be conversant in the English language required.
  • Ability to perform basic computerized time clock and system data entry required.
  • Able to follow directions required.
  • Team oriented and strong level of independence required.
  • Detailed oriented with strong attention for accuracy required.
  • High school diploma or GED and a minimum of six months warehouse experience preferred.

Physical Requirements and Work Environment:

  • Usual warehouse and production environment involves frequent standing, walking, sitting, climbing, stooping, kneeling, crouching, and balancing.
  • Postures include climbing in and out of fork trunk, walking/standing, forceful gripping, vision, cervical rotation, stooping, squatting, and forward reaching.
  • Frequently lifts, carries or balances up to 50 pounds, occasionally up to 75 pounds.
  • Frequently going outside in various types of weather.
  • Pulls pallets using a pallet jack ranging from 20-80 lbs.
  • Frequent use of eye, hand, and finger coordination.
  • Verbal and auditory capacity, with or without assistance, enabling interpersonal communication as well as communication through automated devices such as the telephone and 2-way radio.
  • Visual capacity could include one or more of the following: depth perception, color vision, and peripheral vision enabling operation of machinery.
