What you ll do:
- Develop and maintain short/long-term schedules for 10-15 Service Technicians and meet weekly with the Building Service Supervisor (BSS) and Building Service Manager (BSM) to discuss technician workload and scheduling.
- Contact customers to schedule Technician visit, per individual customer requirements and communicate with customers throughout all stages of work completion.
- Schedule and dispatch the appropriate Technician for service calls/quoted repairs/inspections and ensure that all work is logically scheduled in a cost-effective way to meet our customer obligations. Ensure technicians have all information required to complete work being performed.
- Assist in answering the service phone line and route calls and issue work orders upon request (internal or external)
- Communicate multiple times daily with technician on work status and schedule planning.
- Edit or consolidate technician repair notes in Penta after work completion.
- Create purchase orders and order or pre-order necessary materials for repairs or maintenance Track material shipments and ensure customer is updated on estimated arrival. Enlist the aid of BSS/BSM in the event of material issues.
- Respond to knowledge requests or service calls from internal and external customers professionally and in a timely fashion. Solicit assistance from BSS/BSM where applicable.
- Advise BSS/BSM when Building Service personnel are unable to meet workload requirements
- Advise BSS/BSM of any potential technician problems such as tardiness, absence, difficulty troubleshooting, inspection/quote/NTE overages, callbacks, scheduling issue.
What we re looking for:
- Service coordination or project management experience for a service contractor (preferably mechanical, plumbing, or electrical)
- General understanding of HVAC equipment and systems (preferred)
- Ability to work a flexible schedule including overtime (when necessary).
- Ability to work independently without direct supervision
- Possess the courage to make informed decisions without outside input
- Demonstrate dependability and display a strong work ethic
- Possess and demonstrate excellent communication and customer service skills
- Ability to perform multiple activities in a timely manner with high accuracy
- Possess organizational and superior follow-up skills
- Ability to adhere to numerous customer-specific requirements
- Ability to demonstrate a positive attitude when dealing with internal and external customers
- Ability to stay calm and patient yet also maintain a sense of urgency when handling emergencies and/or experiencing heavy workloads
- Possess strong working knowledge of Microsoft Office programs
- Demonstrate excellent spelling and grammar skills and be able to type 40 WPM
