As a Senior Administrator Coordinator you will be responsible for supporting the SVP, Global Cardiovascular, Renal and Metabolism (CVRM), and be part of the team providing administrative and project coordination support for CVRM teams located across hub sites in Gaithersburg, Wilmington, and Cambridge. This role will involve executive-level contact globally in a dynamic and complex business environment with sensitive and confidential information. Tasks may include project management of functional activities, representing the SVP in communication/ responses, booking meetings, maintaining documentation, supporting with submitting expenses and establishes systems and structures for day to day functioning of their responsibilities.

What you’ll do:
  • Supports the SVP with diary management, scheduling appointments and answering or redirecting routine enquiries from internal or external sources
  • Proactively builds relationships with other support functions (HR/IT/Facilities Management etc.) and other administrative colleagues to enable proactive resolution to queries and support needs for the SVP
  • Responds to more complex or escalated enquiries from other administrative staff
  • Accurately transcribes, types, formats, and proof reads a wide variety of material (for example correspondence, invoices, contracts, meeting minutes, reports, speeches, and presentations) using word processing, presentation, graphics and spreadsheet software.
  • Raises PO orders and manages budgets for the SVP.
  • Uses desk top publishing software to design more complex documents to support the work of the department they support
  • Ensures the production of reports or analyses, to meet quality standards, and provides interpretation of data
  • Controls small projects under general guidance ensuring delivery of project outputs according to plan, reviewing and refining plans as necessary
  • Coordinates internal and external meetings / conferences so that they run smoothly, including scheduling meeting times, making travel arrangements for the SVP, and ensuring that various meeting amenities are available
  • Performs other administrative tasks using independent judgement and discretion
  • Prepares documents, presentation materials and official information releases and distributes to required stakeholders
  • Plans, organizes, and schedules own workload through system maintenance so that all activities are completed accurately and on time
  • May coordinate workflow management and mentors junior team members to ensure effective allocation of resources

  • Ability to resolve issues and challenges relating to administrative requests independently and pro-actively
  • Demonstrated ability to take the initiative to respond to rapidly changing priorities
  • Excellent time management and organizational skills
  • Excellent interpersonal and communication skills as demonstrated by the ability to work effectively with others at all levels of the organization and externally
  • Some project management skills to effectively manage events/small projects
  • Adept at using digital technologies (e.g., Microsoft office online, Workspace/Facebook, Instagram, Twitter, LinkedIn)
  • Passion for the digital space and curious about how to solve challenges leveraging digital technologies
  • Resourceful and self-starter anticipating needs before they arise and solving them with minimal oversight
  • Pragmatic and aware of how to manage complex schedules across multiple time zones
  • Enjoys working with a diverse set of people and brings their own character to enhance GCD&I culture
  • Strong drive to learn and seek opportunities to advance

Essential Requirements:

  • A minimum of a Bachelor’s degree is required
  • A minimum of 5 years of prior administrative experience is required with experience of supporting a global leader strongly preferred
  • Excellent communication skills (Written & Spoken) with a fluency in English
  • Fluency in the usage of key Microsoft office packages (Word/Excel/PowerPoint) is essential, with knowledge of other software and office systems.
  • Can create and maintain systems for efficiency for both self and others
  • Excellent Customer Service Skills

Desirable Requirements:

  • Previous experience supporting complex projects is preferred
  • High confidence and capability in the use of various systems and digital platforms will be advantageous
