Specialized experience at this level is defined as: Experience serving as a secretary or principle personal assistant to a manager, making commitments for supervisors without prior approval, explaining non-technical policies/procedures with authority to establish administrative priorities, assign work, interpret guidelines, and manage the office. In addition, experience serving as an office manager or secretary responsible for providing direction and leadership to subordinate or lower level secretaries by coordinating assignments, establishing administrative procedures for the office, reviewing correspondence and other documents prepared by clerical personnel, etc.
GS-09: To qualify at the GS-09 level, applicants must possess one year of specialized experience equivalent to at least the GS-08 in Federal service. Specialized experience at this level is defined as: Experience serving as a secretary or principle office assistant performing the full range of secretary duties such as the following: controlling and reading all incoming correspondence, screening items to be handled personally, and forwarding the remainder for action; assembling background information and suspense dates before routing mail; proofreading documents for procedural and grammatical accuracy, factual correctness, and proper format; making extensive travel arrangements; preparing and processing time and attendance; responding to a variety of inquiries and requests from higher echelons, and the general public, ascertaining the role and authority of the requester, and providing responses based on the policies, preferences, and priorities of the office.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. How You Will Be EvaluatedYou will be evaluated for this job based on how well you meet the qualifications above.
Category rating and selection procedures will be used to evaluate applications from this announcement. If an applicant meets the basic qualification requirements, his/her on-line responses to the vacancy assessment questionnaire will be used to determine the quality and extent of his/her experience, education, training, etc., for placement in one of the following categories: 1) Best Qualified, 2) Well Qualified, and 3) Qualified. Reclamation is seeking a career professional looking for an opportunity to capitalize on his or her expertise as a Secretary (OA). Make a difference in the West by assisting in meeting increasing water demands while protecting the environment.
Location - Washington, District of Columbia, Deputy Commissioner's Policy, Administration & Budget and Program & Budget Office, Washington, DC.
Responsibilities
The primary duties of this position are:
Plans travel itineraries and schedules, including overseas travel, for the Commissioner's Office.
Schedules transportation reservations and travel accommodations in accordance with the traveler's specific needs (i.e., seating, meals, time preferences, etc.) Prepares a travel authorization for traveler's approval using Federal travel system, and completes and submits travel vouchers in the Federal travel system when the traveler returns to their duty location.
Responsible for arranging the Commissioner's, executives, supervisors, and staff meetings and conferences to include notifying attendees of location, time and date, in consultation with the appropriate staff. Prepares agenda, briefing books, and handouts for meetings; assigns deadlines on action items to specific staff and organizational groups.
Writes nontechnical correspondence and other confidential documents for the Commissioner, executives, and supervisors.
Coordinates and assists the staff in a variety of confidential matters. Participates in meetings and may be asked to contribute to program discussions.
