Job Description
This position ensures the efficient operation of the school office in order to maximize the office’s positive impact on the education of the students.
II. Qualifications:
  • Must possess high school diploma or equivalent.
  • Must possess a valid Arizona IVP Fingerprint Clearance card
  • Must possess a minimum of two years experience as a secretary, office manager, or other similar position.
  • Must have knowledge of basic office procedures and common office equipment and computers.
  • Must possess proficient typing and phone skills and knowledge of word processing, database, and spreadsheet programs.
  • Bilingual/biliterate in Spanish and English preferred.

III. Duties and Responsibilities:
  • Assists Principal with planning and organizing the school office.
  • Provides positive and quality customer service for all.
  • Assists teachers in processing their instructional materials as requested.
  • Orders office supplies in a timely fashion and maintains accurate inventory records, as needed.
  • Maintains a daily staff attendance log, prepare weekly classified and certified spreadsheet for submission to payroll department and insure that all attendance absence forms are submitted.
  • Processes all changes and adjustments in student schedules.
  • Maintains a log of visitors to the school and monitors visitors’ badges as appropriate.
  • Processes requisitions and maintains appropriate budget records.
  • Maintains student attendance records and parent contact for absences.
  • Maintains student permanent records and processes all requests for records.
  • Processes and informs appropriate program offices/programs regarding changes in student status.
  • Takes responsibility in the care of school and minor repair of photocopier, fax machine and other office equipment and materials. Calls service technicians, as needed.
  • Keeps daily student sign out/in log.
  • Answers phone and relays messages to principals, teachers, and students.
  • Maintains student information in Synergy System and submits student attendance data for ADM reporting.
  • Assists Student Council sponsor with fundraising activities and counts and processes student funds.
  • Supervises students sent to office for discipline.
  • Assists and comforts students in nurse’s absence.
  • Performs other related duties as assigned.
