The Service Sales Support Coordinator assists the Thermal Mechanics sales leadership team and account managers with crucial aspects of job projects and customer / client services including scheduling, proposals, customer service, invoices, etc. Ensures all required elements and documentation are processed and filed properly. Complies with defined processes and policies. Ensures work aligns with established objectives and strategies. Increases customer satisfaction to increase overall sales. Responsibilities: May include,
  • Work with Owner and Direct Sales Professionals to ensure all specified job turnover information is included in each booking packet, physically book the job, set up project files, order and track applicable parts to include communication of status of job and parts.
  • Complete and process questionnaires to include new client account setup questionnaire.
  • Work as a cross functional team member, assist the Account Managers in response to Request for Proposals (RFPs), Request for Quotations (RFQs), Requests for Information (RFIs) assisting in the proposal development process to ensure on-time delivery of compelling, compliant, and well-written proposals to include assembling bid bonds, COI’s, affidavits, TMI safety data, etc.
  • Use TMI tools and standards, processes subcontracts and subcontractor invoices. Organize and maintain all subcontractor documentation (certificate of insurance, bonding, etc.)
  • Assist in managing the Job/Contractors
  • Perform additional projects/duties to support ongoing business needs
Qualifications: Knowledge & Skills:
  • Knowledge of HVAC installations / Construction job documentation requirements is a plus
  • Excellent customer and relationship management skills and ability to calmly diffuse negative situation
  • Effective administrative and documentation skills

  • Effective verbal and written skills – including listening skills and questioning skills
  • Strong computer skills; MS Office-Outlook, Word, Excel and Data Entry skills

Experience:
  • 4+ years of administrative support preferably in a related industry
  • 5+ years of customer service/client relations
Education:
  • High school diploma or GED equivalent
  • Some college or vocational training a plus
