Summary

Support administratively the East sales region of Graphic Packaging International. This position will report directly to the VP of Sales and support the VP and the sales team.

Responsibilities include but are not limited to the following.

This position is responsible for performing highly diversified administrative, secretarial, and clerical duties.

  • Booking travel for the VP, Sales
  • Administering various monthly reports
  • A working knowledge of SAP or ERP system
  • Support sales staff with request support for structural designs, estimate requests, and general assistance of sales activity.
  • Will be trained in GPI’s Qlikview and Salesforce Automation, where data will be found for reporting on sales reports, Aged Inventory, Aged Receivables, Open Cash Receipt Discrepancies, and Monthly Sales vs. Plan.
  • Consolidate weekly Narratives from the Sales Team.
  • Manage monthly Outlook communication between sales and capacity planning teams.
  • Prepare typewritten confidential correspondence, reports, meeting notices, presentation materials and other documents in appropriate formats using word processing, spreadsheet, graphics, and/or desktop publishing software.
  • Order department office supplies and equipment. Submit all necessary requisition forms.
  • Twice a year the position will coordinate Regional Sales Meetings. This includes negotiating room rates, setting up meal schedules, contracts, etc. They are usually 2 days long (1/2 day on Day #1 (beginning with lunch), Full Day on Day #2, 1/2 Day on Day #3 (ending with optional lunch) Overnight stay for these is 2 nights.
  • Organizes and prepare all preparations for department, staff and other meetings including typing an agenda, scheduling the conference space required and facilitating refreshments. These arrangements may require external facilities and catering.
  • Complete all necessary requests to ensure smooth onboarding of new sales employees.
  • All other duties as assigned

Required Skills

Strong communications skills with the ability to work effectively with all employees and senior management.

Ability to convey a positive and professional image to internal and external contacts.

Ability to work under pressure while maintaining a positive and helpful attitude.

Computer skills including functional MS Excel, MS Word, and MS PowerPoint experience,

SAP experience or ERP system experience.

Well organized with the ability to handle multiple and competing priorities, with shifting deadlines.


Required Experience

4 years college or equivalent experience preferred

2 years in a manufacturing related environment preferred

2 years administrative support preferred
