Job Description

The position is located in the Office of the Director and Deputy to the High Representative, Office for Disarmament Affairs (ODA). Under minimal supervision, the incumbent reports to the Director, and may also provide general office support to the other senior officers and units within the ODA Front Office.

ResponsibilitiesWithin delegated authority, the Research Assistant will be responsible for the following duties:

  • Assists in identifying and monitoring substantive aspect of the work of ODA intergovernmental mechanisms and disarmament bodies. Selects, evaluates and classifies a variety of documents and confidential information, summarizes pertinent material, collects and analyses data and prepares background materials for assessment papers, studies, briefs and reports.

  • Provides substantive and administrative support by managing priorities and workflow of the manager and work units within the Front Office, screens and prioritizes incoming correspondence, establishes priorities and deadlines, assign work, and reviews outputs.

  • Systematically follows through and retrieves, highlights and compiles information from a wide variety of information sources; prepares input for the electronic database and the internet and co-operates with internal units, research institutes and organizations in the collection of data.

  • Assembles and examines original data and statistical material to ensure accuracy, clarity and validity; makes appropriate adjustments.

  • Prepares a variety of reports and other relevant information, complies background documents, conveying directives and serves as communication link between supervisor and senior staff, bringing sensitive and urgent matters to the attention of the manager, to facilitate the in-depth analysis of the retrieved information by the supervisor and other users.

  • Maintains and expands contacts with other departments in the Secretariat, as well as the UN agencies and programmes and other organizations relevant to disarmament, and co-ordinates the input of other departments in the collection of data and information for assignments received.

  • Prepares, maintains and updates files (electronic and paper), internal databases and website; generates a variety of periodic and ad hoc reports to facilitate inspection and other reviews.

  • Drafts programme/project summaries, co-ordinates review and clearance process and co-ordinates with editor, translation services, etc., on finalization and publication of reports in multiple languages.

  • Identifies the organizational requirements for conferences and meetings and assists in the preparation of documentation and reports for these meetings, as well as organize official receptions.

  • Handles a wide range of complex information requests and inquiries (e.g. answer requests requiring file or other research); responds or drafts responses to a diverse range of correspondence and other communications.

  • Attends a variety of meetings, takes notes and prepares summary report, notes for the file, correspondence, etc.

  • Provides guidance and training to new/junior staff on protocol and other relevant procedures.

  • Performs other related work as required.

Education

High school diploma or equivalent. Must have passed the United Nations Administrative Support Assessment Test (ASAT) at Headquarters or an equivalent locally-administered test at Offices Away.

Work Experience

A minimum of 7 years of experience research, data collection, office management and coordination functions, is required.
Experience working with an international or government setting is desirable.
Familiarity with disarmament related issues is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of another official United Nations language is an advantage.

Assessment

Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
