Our civil litigation firm is seeking to add a Receptionist/Assistant to our team. Schwimer Weinstein LLP is a boutique litigation firm based in Santa Monica with a reputation and track record of results. We are looking for a motivated and highly organized self-starter who can assist with various office tasks.
Job Overview:
The Receptionist/Administrator is the first contact to greet visitors by phone and in person. The Receptionist/ Administrator will primarily answer phone calls, greet clients and visitors, sort, scan and distribute mail and provide other assistance as needed.
Duties and Responsibilities:
- Greeting clients, visitors and vendors, answering inquiries
- Answering and routing incoming calls on a multi-line telephone system
- Collecting and distributing incoming mail and packages
- Processing outgoing mail and scheduling courier pickups, as required
- Scanning, photocopying, faxing and filing documents
- Updating/maintaining client files
- Ordering supplies as required
- Assisting Partners with various other tasks
Qualifications: * Minimum High School Diploma (or equivalent)
- 1 + years of experience working as a Receptionist or in a professional office setting
- Professional demeanor and excellent interpersonal skills
- Proficient in the Office Software Suite (MS Word, Excel, PowerPoint)
- Strong oral and written communication skills
- Meticulous organization skills, high attention to detail and the ability to work effectively in a fast paced environment
- Excellent time management skills
- Punctual and resourceful
