Job Description
HILGARTWILSON a Civil Engineering firm is seeking an experienced FRONT DESK RECEPTIONIST with administrative assistant responsibilities to become a part of our growing team.
FRONT DESK RECEPTIONIST ESSENTIAL DUTIES:
- Prepare lobby and conference rooms for business hours (appearance and stocking, activate phones)
- Professionally respond to all incoming calls
- Greet Clients, and other visitors and announce arrivals
- Coordinate with Building Management regarding concerns/repairs/maintenance
- Coordination of food for client and employee meetings
- General Office / Breakrooms housekeeping (organized and tidy)
- Office supply ordering
- Contributes to team effort by accomplishing related results as needed
COORDINATOR SUPPORT ESSENTIAL DUTIES:
- Scanning, including saving the documents to the appropriate folder(s)
- Managing Courier pickup and delivery
- Folding, Rolling, Printing and Stapling of large plan sets
- Binding Reports as needed
- Assembling Submittals
- Filing both hard files and electronic files
- Gather and sort documents and information
- Completes documents by entering/typing data from source materials
- Revises documents by entering/retyping
- Verifies documents by proofreading and checking requirements
QUALIFICATIONS:
- 2 plus years in a Receptionist (with administrative responsibilities) role in a high paced professional office environment
- Strong communication and interpersonal skills (via phone, email and in-person)
- Excellent organizational skills with an ability to think proactively and prioritize work
- Knowledge in Microsoft Word, Excel, Outlook and Adobe Acrobat.
- Reliable transportation and clean driving record required
- Team player
Hours: Monday-Friday 8:00-5:00

Job Type: Full-time
Pay: $15.00 - $17.00 per hour
