We are looking for a Receptionist to join our team in San Jose.

The receptionist manages all incoming inquiries and lobby traffic. This is fast-paced, customer service position, involving ability to multitask and follow directions. The front desk is responsible for the successful and timely capture, entry, distribution and documentation of leads. The receptionist will be responsible for answering incoming calls, directing calls to the appropriate individual or department, mail distribution, flow of correspondence, serving as the first point of contact for visitors and/or vendors, as well as additional clerical duties. Front Desk must be able to keep manager-level communications confidential from other co-workers.Responsibilities:
  • Answers high volume of telephone calls using approved script, handling objections in a courteous manner according to approved guidelines; logs and enters new inquiries, and transfers to the appropriate individuals or representatives, division or department. Takes messages when necessary
  • This is a very customer-focused position with high volume of phone, email and in-person visits
  • Fields messages to main line from previous night, enters and assigns leads into contact manager and assigns/transfers to appropriate representative
  • Greets and intakes visitors courteously, determine their needs and directs them to the appropriate person
  • Assigns prospects in an accurate and timely manner to representatives upon approval of Director of Admissions and/or Campus Director
  • For prospective students, distributes collects and processes approved Visitor/Student Profile Sheet, enters into contact manager, and assigns to appropriate representative
  • Assures that prospective students are met by representatives in a timely fashion
  • Monitors main entry area to ensure that visitors and/or delivery people are not allowed to roam through the premises unescorted
  • Receives, sorts, and posts all incoming mail from U.S. Post Office, courier service. Receives all outgoing mail daily and sorts for delivery
  • Sends and receives all packages (FedEx, UPS, etc.)
  • Types a variety of forms, letters, reports and memos
  • May also assist with other related clerical duties such as photocopying, faxing, filing, etc.
  • Performs other duties as assigned, especially to provide support to other Campus Departments in coordination with the Campus Director
Qualifications:

  • Proficiency in Microsoft Office including Word, Excel, PowerPoint and Outlook
  • High School Diploma or GED
  • Minimum 1-year customer service experience
