Overview: This role is based within the Facilities team here at Mimecast and we are looking for an exceptional person with high end customer service skills.

The ideal candidate must be a self-motivated, strong team player with a track record of exceptional client services. An engaging and warm personality is vital, as you will present the first point of contact to all new visitors to Mimecast. Successful candidates will thrive in a fast-paced, agile, but well-structured environment that is regularly reinventing itself.Responsibilities:
  • Deliver a guest experience that encapsulates and mirrors the Mimecast culture.
  • Own the front reception area and help to be the face of the organization.
  • Handle all guest and employee interactions with the highest level of professionalism and hospitality.
  • Accommodate special requests whenever possible and resolve all customer inquiries, issues or concerns with a high level of urgency and a positive nature.
  • Notify hiring managers and recruiters of visitors, candidates, customer meetings and direct each guest to designated meeting aresa.
  • Book conference rooms for customer meetings, client visits and interviews, often under last minute circumstances.
  • Assist and/or lead preparation and organization of internal company events and maintain cleanliness of all conference rooms.
  • Place food orders and order catering for our company break room, meetings and company events.
  • Ensure effective and professional telephone communications by answering any incoming calls, taking messages and/or forwarding to the proper individual.
  • Sort daily post/deliveries/couriers. Email employees if packages arrive in Reception.
  • Assist with day-to-day facilities operations and liaise with building management.
  • Administrative assistance across all departments within the organization when needed to ensure a smooth running office.
Qualifications:
  • 2-5 years of customer service and/or administrative experience. Candidates from luxury hospitality, high-end retail, or other high-touch guest service roles are particularly encouraged to apply.
  • Excellent interpersonal Communication skills, with a warm, welcoming and professional demeanor in all interactions.
  • Outstanding organizational skills, accuracy and attention to detail plus strong multitasking skills, and ability to remain focused on job responsibilities when diestractions are present.
  • Proficiency with Microsoft Office, Word, Excel and PowerPoint.
  • Have excellent writing, analytical and problem-solving skills.
  • Recognize that customer satisfaction is a principle measure of our business and our values.
  • Expect to encounter change and take ownership of our job.
