OPEN POSITION: PUPIL ACCOUNTING MANAGER / ADMINISTRATIVE ASSISTANT TO THE
SUPERINTENDENT

POSTED: 01-25-21 DEADLINE: UNTIL FILLED FTE 1.0

The position of ADMINISTRATIVE ASSISTANT TO THE SUPERINTENDENT serves as the liaison for any and all matters essential to ensure the operational efficiency of the organization between the Board of Education/Superintendent, Central Office, individual buildings and departments, and the community.

QUALIFICATIONS:

Post high school degree or certification in related area. Experience in a public school district central office is preferred, but not required.

Excellent typing skills and knowledge of software applications, including Microsoft Office Suite
(Word, Excel, PowerPoint, etc.) and database management (e.g. MIStar, Business
Plus/Sunguard, etc.).

Excellent verbal and written communication skills.

Excellent organization skills with the ability to prioritize task and/or projects.

Demonstrate leadership traits with the ability to supervise, direct, make decisions, and accomplish tasks with limited supervision on behalf of the District and Superintendent.

Excellent mathematics and reasoning/problem-solving skills.

Trust and confidentiality essential.

Current Notary, or the willingness to become a Notary.

PERFORMANCE RESPONSIBILITIES:

Public Relations and Marketing:

? Maintain a positive and professional attitude at all times with interaction between students, parents, staff, and community.

? Assist in the maintenance and update of the district website and social media accounts.

? Coordinate the district marketing and advertisement with outside agencies (e.g.
Oakland Schools, newspaper, radio, television, billboard, social media, etc.)

Board of Education:

? Coordinates Board of Education and special elections information between the District and Oakland County Elections Office and/or candidates running for the Board.

? Prepares, publishes, and post Board agendas as well as organize and copy/upload supporting documentation for Board meetings.

? Attend Board of Education meetings (i.e. 1st Monday of each month) for the purpose of recording the meetings minutes as well as prepares the official Board meeting minutes post Board meetings.

? Demonstrates knowledge and understanding of the Michigan Open Meetings Act.

? Organize and coordinate Board Policy and Administrative Guideline updates and approvals with the Board of Education/Superintendent and Neola.

Pupil Accounting:

? Experience in the use and support of other technology and database applications, including Microsoft Office and State specific software such as Center for Educational
Performance and Information (CEPI) and Michigan Student Data System (MSDS).

? Coordinate the fall and spring pupil counts

? Provide pupil accounting support for the district including the submission of all reports and coordination of data collection (General Collections, Special Education Collections,
Section 21F for virtual students, Early Childhood roster, Student Record Maintenance
(MSDS), Graduation and Drop out (GAD), Civil rights, MCIR/ Immunizations and Unique
Identifier Code (UIC) request and resolutions, Registry of Educational Personnel (REP).

? Monitor FTE reconciliations and pupil membership audit and reviews per building and programs.

? Completion of required audit narratives and the submission of audited membership counts.

? Download Direct Certification of free lunch files from MSDS and upload into MiStar.

? Provide support to student Services department with regards to pupil accounting, including tracking private/parochial school enrollment for special education.

? Function as the district registrar which includes working with the online registration system and coordination with the building staff and community.

? Coordinate, as the district point person, the county wide Share Education entities specifically as it relates to pupil accounting activities.

? Keep updated on all changes in statewide pupil accounting requirements and procedures.

? Responsible for all Section 25e (District to District transfers) claims and submissions.

? Coordinate home-based, homebound, and dual enrollment documentation for pupil accounting.

? Maintain record and submit required reports for district seat time waiver program.

? Ensure high quality data practices are implemented and followed in the area of student information.

? Write and communicate high quality data practices to district staff.

? Prepare statistical reports requested by administrator.

? Monitor data in the SIS for accuracy and completeness, as it pertains to enrollment, attendance and other pupil accounting related information.

? Resolve or request new UIC number for student on regular basis.

? Conduct pupil accounting in –services with appropriate district personnel periodically.

? Keep apprised of, and communicate changes in, due dates, format, content and procedures for submitting state reports.

? Issues appeals to state (when necessary) in response to desk and building audits.

Other Responsibilities:

? Manage the calendar and appointments of the Superintendent.

? Attend meetings and/or training on behalf of the district.

? Perform a wide variety of clerical and supervisory tasks which requires sound, professional, and often times independent judgment.

? Compose correspondence, reports, notices, and communications using correct grammar, punctuation, and verbal clarity.

? Serve as a liaison for collaborative efforts between the district and other entities (e.g.
Oakland Schools, municipalities, business, Chamber of Commerce, Service
Organizations, etc.).

? Reports regularly to the Superintendent on any developments or situations which requires the Superintendent’s attention or action.

? Demonstrate the ability to read and interpret documents, write routine reports and correspondence, and speak effectively to students, parents, staff and community.

? Demonstrate mathematics ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals as well as compute rate, ratio, and percent and to draw and interpret graphs.

? Demonstrate reasoning ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form as well as solve problems involving concrete variables in standardized situations.

? Other related duties and responsibilities as assigned.

SALARY – $45,000 - $60,000, based on experience. The position of Administrative Assistant to the
Superintendent is a non-union, exempt position. Other benefits of the position include, but not limited to vision, dental and health insurance; short and long-term disability; personal, sick and vacation days; and paid holidays.

WORK CALENDAR – Fifty-two (52) weeks. Work Calendar runs concurrently with the school calendar, July 1st through June 30th.
