Job Summary
- The Portfolio Accountant's responsibility is to ensure the accuracy, completeness, and timeliness of the financial accounting and reporting functions for an assigned portfolio of properties.
- They are also responsible for reconciling all property bank accounts, subsidiary ledgers, and control accounts, preparing annual budget data, annual tax or audit work papers, and ensuring that all required regulatory/jurisdictional filings are done.
- The position requires an individual with excellent accounting and analytical skills, strong time management and organizational skills, exemplary communication skills, and the ability to self-manage.
- The role also requires a strong team player who works well with others, provides excellent customer service to internal and external clients, and works diligently to support the goals and objectives of the Company.
Essential Functions and Responsibilities
Monthly Statements:
- Review property income and expenses on a monthly basis and bring any discrepancies, problems, or questions to the attention of the Property Manager and Management, if required.
- Create and maintain prepaid/accrual schedules and journalize as required.
- Post monthly closing entries for reclasses, taxes, and other recurring activities.
- Review mid-month reconciliation of MRI cash received to actual bank deposits.
- Review monthly management fee calculations to ensure accuracy prior to RM close completion.
- Reconcile month-end Rent Roll balances to A/R balances in the G/L on a monthly basis.
- Review monthly operating, security deposit, and reserve bank statements/reconciliations for assigned properties and tie in cash balance on G/L. Review outstanding checklist and discuss action steps with the CFO for any items over 90 days old or any entries that need to be researched.
- Review financial reports prior to processing preliminary statements to ensure report accuracy. Identify variances and sources prior to submission of reports.
- Process and deliver preliminary monthly financial reports as required within the scheduled due dates/times.
- Enter post-review reclassifications and adjusting entries, perform a final review, and re-run final reports. Print out or post online as required within the scheduled due dates/times.
Fiduciary:
- Work with the Property Managers to ensure property operating accounts are maintained at a positive level.
- Inform Management of any property owner’s funding requests. Provide backup information as requested.
- Work with Management and the Property Manager to stabilize cash situations for financially troubled properties.
- Coordinate funding of escrows and reserves with Controller, as required.
- Review with the Property Manager and Management, the status of taxes, insurance, and escrows as necessary.
- Monitor expenses to ensure compatibility with budgeted amounts. Bring any significant discrepancies or questions to the attention of the Property Manager and Management if required.
- Monitor property investments (i.e. security deposits, surplus cash, utility escrows, reserves).
- Monitor property investment needs with the Property Manager and Management, as required.
Qualifications
Education: 4-year degree in Accounting or Finance.
Experience:
· 3-4 years minimum property management accounting experience.
· Minimum of three years of general ledger maintenance.
· Minimum of three years of financial statement preparation and analysis.
Skills and Abilities
· Property management/accounting software, preferably MRI or Yardi.
· Proficient use of Microsoft Word, Excel, Outlook, and PowerPoint.
· Proficient use of Sage FAS or other depreciation programs.
