Department Info: The Property Management Team manages the entire life cycle of building operations, including execution of strategic capital plan, tenant relations functions, staffing, and financial reporting. You will be exposed to all aspects of commercial real estate operations: staff management, reporting, budgeting, construction, contract service administration, tenant and local community relations, lease administration, emergency preparedness, collections of rent and tenant service billings. In addition, you’ll partner with other verticals such as asset managers, directors of property management, brokers (leasing team), accountants, design consultants, and contractors working on projects like: amenity lounges, café’s, conference centers, lobbies, fitness centers, tenant improvements, elevator modernizations, roof and mechanical equipment replacement.Position Info:Property AdministratorACCOUNTING
- Sort, disseminate and code invoices for PM approval
- Send weekly AP to accounting
- Monitor, collect and follow up on monthly delinquencies
- Prepare rental demand letters and default letters for delinquent accounts
- Monitor, follow up and collect on tenant delinquencies
- Update collection notes
- Bill tenants for additional HVAC usage and extra services
- Bill tenants for additional access cards
- Compile budget information in preparation of creating new budgets
ADMINISTRATIVE
- Create and maintain tenant lease files, building files, and upfit construction files
- Coordinate scanning building files into shared drive and other scan projects of plans, etc.
- Audit certificates of insurance from tenants and vendors,
- Perform quarterly audits and coordinate changes/updates from tenants
- Prepare all written correspondence to tenants, vendors, etc. as needed for manager review/approval
- Update work order system
- Maintain updated tenant contact information spreadsheets
- Update Outlook v-cards of tenants, vendors, colleagues, etc.
- Update cleanable SF spreadsheet and advise janitorial company
- Update building master log spreadsheet as necessary
- Update Tenant Manual as needed
- Check and reply to emails and phone messages daily
- Answer manager’s phone in manager’s absence or as requested
- Schedule and attend internal team meetings, to include agenda, minutes and follow-up
- Attend property management meetings and report on agenda items as needed
- General office duties (scanning, copying, filing, etc.)
- Coordinate tenant move-in / move-out schedules from beginning to end
- Coordinate new tenant orientation
- Train and retrain tenants on the tenant work order system as needed
- Send tenant anniversary cards
- Coordinate tenant goodwill events
- Visit tenants and schedule individual tenant lunches
- Dispatch for Building Services
- Facilitate resolving tenant service requests/issues outside Building Services capabilities
- Inform tenants of scheduled work in their buildings
- Coordinate winter holiday decorations and tenant gifts
- Track expirations and obtain updates from leasing team
MAINTENANCE / OTHER
- Perform building inspections as directed by property manager, document inspection, distribute to manager and engineer
- Create and send work orders to the engineer / HVAC technician as needed
- Send service requests and maintenance issues to vendors
- Obtain vendor proposals for capital projects
- Order building supplies as needed
- Review work order reports and follow up accordingly
- Assist in scheduling preventive maintenance (pressure washing, window washing, etc.)
- Assist in tracking and coordinate capital projects
- Assist in selection of vendor services, negotiation of contracts and monitors performance
