Job Description
The Project Support Specialist position will be an Industrial office-based position that supports the projects for document control and other jobsite requirements using the InEight Document and other software. Each Project Support Specialist will have several jobs assigned to them based on the size and scope of each project. They will work with the site staff in the field, on each respective job, for direction on project setup and communication, and other requirements for the project site.
Documents:
As document transmittals are received from the Owner, the Project Support Specialist will review the transmittals, download the documents, and then upload them into InEight Document. They will then, through a matrix that is set up beforehand, transmit the drawings to the appropriate parties. This includes the suppliers, subcontractors, and site field management inclusive of Project Engineers, Superintendents, General Foreman, and Foreman. If paper drawings are utilized for a project, the drawings that need to go to the field for the supervisors will have to be delivered by the site staff to the respective supervisor. This can be done by sending drawings directly to the printer at the site, printing them in an industrial office and shipping them to the site, or by sending the site a link to the document packages and having the field print the drawings for delivery to intended recipients.
Drawing Comparisons:
In addition to the receiving, uploading, and transmitting of drawings, there are other tasks that will be included for this position. As new revisions come in, the Project Support Specialist can use the drawing comparison tool create a PDF copy of the drawing differences. Comparison packages can be put together by the Project Support Specialist and sent to the Project Engineers in the field for review. This will save the Project Engineers much time if these comparison packages are sent every time a new revision is received. It will be a part of the procedure, so that the Project Engineers will incorporate that process into their tasks as well. Recognized changes can be brought to the attention of the Owner, and the change management process can be more rapid and efficient with these comparison reviews.
Requests for Information:
Another duty that the Project Support Specialist can do is to send out the Request for Information (RFI) documents for each project. The on-site project engineers can put together the data, markups, text, and distribution list for the RFI, and the Project Support Specialist can take the time to combine the data and enter the data into the formal RFI form. They can then send it off to the Owner/Engineer and track and monitor the process. As the answers are received, the Project Support Specialist can make sure the distribution is transmitted to the proper parties.
Submittals:
Project Support Specialists can work with the on-site Project Engineers to gather the data that is necessary for the Submittals on the project. In addition, they can work on the submittal logs with the Project Engineers, and through a review of the project specifications. For example, the Project Support Specialist can work with the structural steel supplier on a project to procure the shop drawings. Once received, the Project Support Specialist can officially send off the InEight Document Submittal Form with the shop drawings to the Owner/Engineer for approval. This will then be tracked, monitored, and reported to the Project Engineers on the site for follow up. The Project Support Specialists can spend their time gathering the required data and attachments from the vendors and then work with the Project Engineers and then officially and formally submit all of the information to the Owner/Engineer for approval. The Project Support Specialists can also work with the suppliers if there is any deficiencies. All throughout this process, the on-site Project Engineers will be in the loop about the status of the various vendors.
Punchlist:
The Project Support Specialists can work with the Project Engineers on the punchlist for the project. In terms of populating the punchlist with the work items and the updating, the site team can track and record what is required and completed, and the Project Support Specialist can create and maintain the list from information received from the field. They can send out updates of the list to the field staff as well as the suppliers and subcontractors that are a part of the process as well. They can continuously monitor and track the progress of the punchlist and send out communications about its progress.
Project Close Out:
Project Support Specialists will assist the Project Engineers on project close out. The Project Support Specialists will work with the subcontractors and suppliers, to gather the operation and maintenance manuals, redline drawings, and other required documents and sign offs as needed to properly close out the project. They will be involved in the final transmission of the close out documents to the Owner/Engineer. They will monitor and track those documents in a log that is created and populated as information and documents are received.
Address Book Maintenance:
Work with the estimating department on maintaining the subcontractor and vendor address book. This data will be imported into InEight Estimate and the InEight Suite as well.
Flexible Duties:
Aside from all the above items, the Project Support Specialists shall support the projects with other requirements and needs as assigned. Some of the items that could be included are some task-based project engineering support as well as some additional assignments on working with subcontractors and suppliers on change pricing and project bulletins or extra work. Support for the estimating department will also be included when time permits.

Position Requirements:
- Undergraduate degree in construction management, engineering, or relevant discipline.
- Between 1 and 3 years of construction experience either in the commercial or industrial markets.
- Strong skills in Microsoft Office consisting of Word, Excel, Outlook, and Power Point.
- Strong attention to detail, organizational skills, and the ability to mange multiple, competing priorities.
- Convey a sense of urgency.
- Projects a positive, proactive desire to support a broad range of assignments.
- Ability to interact professionally and effectively with suppliers, subcontractors, Owners, Design Engineers, managers and co-workers.
