POSITION SUMMARY:


The Project Coordinator of the Drilling Division will be responsible for handling logistical administrative and field support related to Alpha Inc. drilling clients, vendors, and crews. This position requires a high level of organization and the ability to work independently and as part of a team. Well water drilling, pump, and materials experience are a priority for succeeding in this role, which has the potential for advancement.


ESSENTIAL DUTIES AND RESPONSIBILITIES:


  • Receive and schedule all Drilling Division shipments.
  • Communicate clearly and effectively with clients and vendors.
  • Obtain and review quotes for accuracy and completeness in a specified time frame.
  • Prepare estimates and collect all documents related.
  • Pick up and deliver parts to drilling sites.
  • Prepare necessary presentation materials for project meetings.
  • Organize, attend, and participate in client meetings and calls where applicable and distribute minutes to all project team members.
  • Document and follow up on important actions and decisions from meetings.
  • Provide timely status updates and ensure project deadlines are met.
  • Collaborate and provide information and regular administrative support to project managers and business leaders when requested.
  • Share relevant documentation and reports with project teams.
  • Understand and comply with Alpha Inc. safety procedures, field operations, and reporting methods.
  • Ensure job files have properly signed contracts and required forms necessary per job.
  • Understand formal escalation and review process.
  • Assist with processing of requests for information (RFIs), submittals, cost issues and change orders.
  • Ensure projects adhere to frameworks and all documentation is maintained appropriately for each project.
  • Assist with compilation of project closeout information.
  • Develop strong business relationships with clients, project teams, and field teams.
  • Ensure client views are managed towards the best solution.
  • Maintain one-call requests active for projects.
  • Perform pre-job startup checklist for projects.
  • Coordinate and facilitate multiple projects simultaneously.
  • Develop, improve, maintain, and revise standard operating procedures (SOP’s).
  • Perform other duties as assigned.

EDUCATION AND EXPERIENCE:


  • Minimum two (2) years well water and pump experience required.
  • Strong knowledge of well water drilling materials required.
  • Associates degree in business or related field of study preferred.
  • Proficiency in Microsoft Suites - Word, Excel and MAC Suites required.
  • Proficiency in Bluebeam, or Adobe Acrobat preferred.
