The PositionA strong Project Coordinator is someone with strong organizational skills, able to work autonomously but also possesses a collaborative approach to solving problems. Passionate about growing a career in an agency, the Project Coordinator will have the opportunity to work across all aspects of client engagements and partner with members of diverse project teams. An ideal candidate for this position is hard-working, persistent in following up and following through, and willing to work with people at all levels of the organization to ensure our work is high quality, on time, and on budget for our clients.

The ResponsibilitiesIncludes, but not limited to the following:
- Assist Project Managers and Senior Project Managers in updating and managing multiple comprehensive project plans.
- Maintain and send hot sheets to key account team members.
- Traffic assets through internal teams and help manage internal server.
- Staff work to the appropriate resource, in partnership with Department Leads, SVP Resource Management, and members of the PMO.
- Assists in account team meetings, taking accurate notes to capture to-dos, and ensuring next steps and to-dos are set, communicated, and completed.
- Support Project Managers, Producers, and/or Senior Project Managers on all project management needs.
- Monitor and document changes in project scope, and make adjustments as needed to ensure project plans, budgets, and quality are not adversely affected in partnership with PM and SPM.
- Support development of scopes of work (SOW) for complex, multi-channel engagements for both existing clients and new business opportunities.
- Assist with project forecasting to ensure appropriate budgets used to predict agency revenues and determine resource needs.
- Help manage project data in management software.
- Organize and set clear expectations for all project tasks and deliverables and hold project team members accountable for meeting deadlines.
- Carry out work in a manner consistent with our company values and purpose, and the PMO vision
- Accountable to own next steps in hotsheets, recaps and status documents and holds team accountable to timelines and expected client deliveries.
- Managed multiple projects data in management software to help accurately staff work
- Can accurately flag budget and timing concerns to team to assist in solutions.
- Drafted budgets and timelines accurately for work on projects to begin
- Billable target of 75%
- Experience working within an integrated marketing agency required; knowledge of advertising, digital, creative and public relations functions preferred.
- Strong negotiation and conflict management skills.
- Ability to manage multiple workstreams.
- Ability to work in an open-office environment within a fast-paced, high-growth agency.
