Job Description
Overview: POSITION SUMMARY STATEMENT: The Project Coordinator, Engineering must have a basic understanding of engineering projects, budgets, and timelines. This person will operate in a cross-functional environment working closely with project managers to coordinate project schedules, resources, equipment, and information. Tasks include project administrative duties such as scheduling and attending meetings; recording, organizing, and communicating information and records; carrying out Herbalife Nutrition procedural requirements related to the execution of engineering projects; responding to inquiries and supporting vendors/cooperators; overseeing engineering documentation (both paper and digital); and compiling manuals. This role requires a basic understanding of the engineering process, general administrative duties, basic computer office programs, basic budgeting/finance, and the engineering project environment. In addition, this position is responsible for streamlining activities with other departments to assist engineering in completing projects in a timely manner.
DETAILED RESPONSIBILITIES/DUTIES:
  • Coordinate engineering projects through support of the project manager and project teams by scheduling and attending in-house and contractor meetings, coordinating contractor visits, recording notes/data related to scope, budget, and timeline, updating related records, and distributing records as required on a timely basis using company software systems and procedures.
  • Track all designated project elements on multiple concurrent projects and document, archive, organize, flag, and communicate information as appropriate, including PR’s, PO’s, PAR’s, etc.
  • Assist in preparing project reports, capital requests, budgets, change control documents, factory and site acceptance documents, purchase requisitions, bid waivers, expense reports, job descriptions, purchase specifications, asset transfer documents, etc.
  • Assist in gathering samples, testing equipment, recording results, and preparing items for shipment.
  • Prepare/distribute documentation to enhance training, setup, tooling, operation, troubleshooting of equipment.
  • Respond to inquiries from and communicate with outside personnel, including vendors, contractors, and cooperators, to exchange information and track project elements and timelines.
  • Interact with multiple departments including Manufacturing, Marketing, Planning, Procurement, Quality Control, Finance, Global Licensing, Inventory Control, Product Development, IT/IS, Safety, Validation, and Industrial Engineering regarding equipment design activities as related to the projects.
  • Provide general administrative support to plant management as needed by preparing and issuing correspondence, scheduling meetings, making travel arrangements, preparing expense reports, and supporting company events as needed.
  • Support the Safety department mission by coordinating safety committee meetings and participating in First Responders, keeping emergency action plans current, and supporting ISO 45001 activities.
  • Adhere to all Company and OSHA Safety Rules /Policies, and Regulations.
  • Complete work in a timely, thorough, and accurate manner.

  • Excellent analytical, problem-solving, organizational and communication skills.
  • Ability to solve practical problems and prioritize workload for effective implementation under general supervision.
  • Understand and be able to manipulate basic project management and tracking documentation.
  • Able to read technical blueprints and schematics.
  • Understand and process engineering procedural forms including budgets, change control forms, FAT/SAT documents, asset transfer forms, validation documentation, SOP’s, etc.
  • Ability to work with a positive attitude in a dynamic, fast-paced manufacturing environment and be a strong team player with sensitivity to cultural diversity.
  • Ability to organize workload for effective concurrent multi-project implementation.
  • Proficiency in Microsoft Word, Excel, Power Point, Project and Outlook; knowledge of Access, Visio, Quick Expense, File Maker Pro and Oracle.

Experience:
  • 4+ years’ experience as an assistant in an engineering or maintenance environment.
  • 5+ years’ experience supporting the development/tracking of project scope, budget, and timeline elements and working with engineering project forms/documentation.

Education:
  • High School Diploma or GED Equivalent.
  • Completed degree or concurrent enrollment in a related degree program preferable.
  • Training in Microsoft Word, Excel, PowerPoint, Project, Outlook
  • Basic understanding of the engineering process.

PREFERRED QUALIFICATIONS:
  • BS degree in a Math, Science, Business or Project Management field or related field, Associates degree acceptable.
  • Experience in Nutraceutical, Pharmaceutical, Food, or CPG industries.
  • Adaptability to evolving external environment and organization.
