Job Description

Scope of Position


Assist the project management team in successfully managing the financial functions of a project including accounts receivable, accounts payable, project cash flow, and project financial closeout.


Job Responsibilities

  • Manage Accounts Receivable at the project level including but not limited to:
    • Review PMA and job costs for accuracy and compliance
    • Develop owner invoices
    • Review owner invoices with project team for accuracy and compliance
    • Submit invoices to owner and follow up with owner on payment status
    • Coordinate with Haskell A/R team to ensure payments are received and coded correctly
  • Manage Accounts Payable at the project level including but not limited to:
    • Receive, organize, and review subcontractor invoice packages for accuracy and compliance
    • Obtain missing documents including W9’s, COI’s, requisitions for payment, safety hours, waiver and release of lien documents, second and third tier payment confirmation.
    • Manage joint check process
    • Ensure subcontractors are being paid on time and in accordance with the subcontract
    • Ensure speed status reports are received from PAR weekly and outstanding items are being addressed in a timely manner.
  • Assist the project management team with cash flow management including but not limited to:
    • Monitor cashflow and adjust AR accordingly
    • Report on under/over-billings
    • Monitor and report on working capital status
  • Manage the project financial closeout process including but not limited to:
    • Develop SDV’s for retention checks
    • Manage final invoice package from subcontractors
    • Manage final lien waiver process
    • Monitor SCPO status and ensure accounting has up-to-date subcontracts
    • Coordinate warranty receipt with APM for subcontractor prior to payment of retention
    • Invoice owner for retention and ensure that pay-if-paid logic is followed for retention payments
  • Subcontractor management
    • Coordinate with subcontractors on project specific items including but not limited to requisition due dates, invoice requirements, paperwork management, and to request missing or inaccurate information.

Education/Experience

Bachelor’s Degree in Business Administration or Construction Management and 5 years’ experience, or 9 plus years’ experience in lieu of degree. Experience working on large construction projects that had a contact value of $25 million USD or greater.


Specific Knowledge, Skills, License, Certifications Etc.

  • Experience in a commercial contracting environment preferred.
  • Understating cost and schedule development and controls preferred.
  • Solid analytical ability with excellent written and verbal communication skills required.
  • Knowledge of financial and business intelligence software such as JD Edwards, Procore and EcoSys are preferred. Strong skills in Microsoft Office, especially MS Excel is required.

While performing the duties of this job, this position is required to have ordinary ambulatory skills sufficient to visit other locations; and the ability to stand, walk, stoop, kneel, crouch, and manipulate (life, carry, move) light to medium weights of 10-50 pounds. Requires good hand-eye coordination, arm, hand and finger dexterity, including ability to grasp, and visual acuity to use a keyboard, operate equipment and read application/form information. The associate frequently is required to sit, reach with hands and arms, talk and hear.
