Job Description

Position Requirements: The Project Administrative Assistant reports to the Project Manager on assigned projects and indirectly to other field and project managers. Provides administrative support of project management by coordinating the daily, weekly and monthly tasks required to ensure cohesive and seamless project administration of one large project or multiple mid-size projects. May include day-to-day interface with project accountants, client, design team, and contractor personnel. This position may be located on the job-site full time, or may be on-site part-time and in the corporate office part-time .
Primary Responsibilities:

  • Sets up field office, purchases and maintains field office equipment and supplies.
  • Assists in preparation, distribution and tracking (logs) including, but not limited to, scope changes, purchase orders, insurance, contracts, shop drawings to owners, subcontractors and project staff.
  • Distributes and ensures proper routing of documents for signature.
  • Manages project team directory.
  • Organizes and logs safety documentation including Subcontractor’s site specific safety manual prior to start of work, daily pre-task, and JHAs.
  • Assist Project Team with box walk responsibilities including combining the necessary product data and assisting superintendents with layout within the building.
  • Organizes, manages and distributes electronic read files. Compiles and produces weekly read file for Project Manager.
  • Assists with subcontract processing, distribution and tracking from initial stages of bid solicitation to contract signing.
  • Assists in the preparation, compilation and distribution of monthly project reports.
  • Gather close out documentation including warranties and operations and maintenance manuals.
  • Schedules meetings and keeps meeting minutes, team, OAC and misc.
  • Closes out field office at the end of the project
  • Maintain a library of subcontractor safety plans, QC programs, SDS Programs.
  • Create and maintain competent persons log.
  • Acts as the CFC initials contact for visitors.

Required Skills:

  • Excellent written and verbal communication skills
  • Accurate clerical skills
  • Proficient with Microsoft suite
  • Ability to work in a team environment
  • Continuously cultivate and maintain positive relations with multiple sources (clients, architects, engineers, sub-contractors, consultants, trade association, etc.) and help facilitate the company-wide proactive development of relationships.

Qualifications:

  • High school diploma or equivalent
  • Construction administrative experience is preferred but not required.
  • Applicants must reside in or have immediate plans to relocate to the Denver Metro area. Denver area experience preferred.
  • Valid Colorado driver’s license and reliable transportation necessary to move between assigned projects.

Salary Range: $33,962-$42,000
Potential Annual Bonus: 4%
