Program Manager - Early Intervention

We are seeking a dynamic Program Manager to oversee and manage day to day operations of TheraCare's EI Program.
ESSENTIAL JOB FUNCTIONS/ DUTIES
The essential functions/duties include, but are not limited to the following:
- Increase market shares by collaborating with Marketer, and building and maintaining relationships with external Service Coordinators
- Manage clinician productivity by monitoring each submission of billing for FT and FFS with benefits 2 times per month
- Meet with providers who are exhibiting productivity deficiencies
- Review productivity requirements
- Run utilization report 2 times a month after billing (625/695 reports)
- Enforce submission of billing 2 times a month
- Compare online timesheets to actual session notes submitted
- Meet with new hired to explain department expectations, due dates and caseloads
- Review with AA which clinicians did not submit billing at the end of cycle
- Manage profit margins ensuring all full timers and FFS with benefits are being fully utilized by running reports on web application weekly
- Ensure utilization of therapist with lowest rates
- Meet with recruiter to assure that all FFS providers can take 10 or more hours
- Track referrals with evaluation coordinator, knowledge of cases evaluated and how many cases are staffed
- Manage referrals coming from inside/outside SCs, compare weekly basis how many referrals are received, track referrals by referring agency and track how many services per referral utilizing spreadsheet
- Forecast clinician need by identifying areas with the greatest demand through referrals and communicate with recruiter
- Meet with recruiter monthly for status update and work order
- Use budget and referral trends to forecast clinician need 3 months in advance
- Report back to recruiter which new clinicians are accepting and/or not accepting cases
- Ensure that all referrals that we are able to staff are accepted
- Contact appropriate clinician utilizing full timers, FFS with benefits first
- Inform Staffing Assistant of new cases,
- Work closely with evaluation coordinator and call SCs to accept services
- ABA Manager to be notified of all ABA cases ensuring all information is obtained from personal touch
- Re-staff cases when a request is made or a problem arises
- Review GAPS, closures and termination paperwork
KNOWLEDGE, SKILLS AND ABILITIES
The items listed below are representative of the knowledge, skill, and/or ability required:
- Strong knowledge base of Early Intervention regulatory guidelines
- Excellent overall computer skills including MS Word and Excel
- Highly detail-oriented with superior organizational skills
SUPERVISORY RESPONSIBILITIES
- Manage staff in Early Intervention department, meet with team once a month to obtain statues updates from each Administrative Assistant, address concerns regarding FADs, progress notes, RXs and come up with solutions
REQUIREMENTS
- B.A.
- Minimum 3-5 years experience in Early Intervention service coordination and/or Early Intervention case management
PHYSICAL REQUIREMENTS
- Hand dexterity ability (ability to operate mobile device, telephone, computer)
- Ability to lift up to 30 pounds
- Ability to sit for extended periods of time
- Ability to stand for extended periods of time
