JOB TITLE: Program Coordinator

DEPARTMENT: MFA Products of Design

REPORTS TO: Director of Operations and Chair

POSITION OVERVIEW: Execute administrative tasks for the MFA Products of Design department in a responsible and timely manner. Maintain organization of the studio space.

Work Schedule: Part-time; 4 days/week (28 hours per week)

DUTIES & RESPONSIBILITIES:

  • Assist the Chair and Director of Operations with the day-to-day operations of the department
  • Act as a receptionist and provide assistance to all visitors
  • Correspond with all new and returning students and faculty about day-to-day requests
  • Create and track check requests, purchase requisitions, and expense reports
  • Work with the administrative staff to prepare yearly applications for admissions review
  • Assist with the filing and organization of admissions paperwork
  • Assist with the content, publication and scheduling of the weekly department newsletters, college catalogs, and college website department pages
  • Help support student assistantships and committees. Liaise with social media assistants to help coordinate editorial calendar, metrics, and support platforms; liaise with gallery assistants to help coordinate upcoming shows, installs, and de-installs
  • Collaborate with the Chair and Director of Operations on short- and long-term plans for the department, including curriculum development, future course offerings, recruitment of staff, and faculty
  • Assist in organizing and set-up for special department events including orientation, information sessions, recruitment events, and thesis presentations
  • Collect and report RSVPs for department events
  • Research new products and services for possible integration into existing systems. Stay abreast of current developments in art, technology, and higher education, as they relate to the department
  • Cultivate professional contacts and maintain accurate databases
  • Maintain accurate department calendar of classes, programs, events etc.
  • Proofread outgoing messaging and promotional materials for the department and submit for approval by Director of Operations
  • Schedule appointments for Department Chair and Director of Operations
  • Complete faculty appointment paperwork
  • Circulate administrative forms for approval
  • File maintenance requests for the studio space
  • Track and order department supplies
  • Secure reservation space in appropriate SVA venues for departmental functions
  • Perform other duties as assigned

QUALIFICATIONS:

  • Bachelor's degree; Master's degree a plus
  • Experience in design-related, art-related and/or non-profit fields preferred
  • Strong interpersonal skills
  • Excellent written and verbal communication skills (must submit samples of business writing)
  • Excellent proofreading skills and attention to detail
  • Works well independently and on a team
  • Excellent research and organizational abilities
  • Proven problem-solving abilities
  • Enjoys taking on new responsibilities and is accountable for them
  • Solid computer skills a must: Google Suite, Slack, Microsoft Word, Microsoft Excel, Adobe skills a plus
