Position Title: Coordinator I Program
Position Summary:
This position provides general administrative support for the HR team, as well as coordinates and implements meetings, events, and programs for the brand. These meetings, events and programs are expected to be efficiently run, cost effective, smoothly implemented, and appropriate to their purpose; they are generally highly visible, and participants include leadership team members and other associates. Provides other administrative support to the department, as well as budget tracking.
Principle Duties and Responsibilities:
Support associate engagement survey results delivery and action planning at the direction the HRBP team (printing/interpreting results and documenting plans).
Research, identify and arranging training and leadership development courses that meet the learning needs of business associates (internal and external sources).
Provide first level screening support as needed for the recruiting/candidate selection process.
Support the creation of internal communications and planning documents such as timelines, which support organizational changes.
Identify possible location options and initiate contract negotiation.
Serve as the main liaison with the facility conveying all company needs and understanding potential to fulfill them.
At the event, be the main on-site coordinator for an event making sure that communications between the team and the event facility are smooth.
Resolve issues as they arise during events, involving other members of the HR team and/or supervisor as needed.
Track invoices via a centralized spreadsheet and present budget updates to department Lead each period. Provide a cost/benefit analysis of actual expenditures for each meeting/event and detail cost savings achieved.
Coordinate the payment of invoices and contract in partnership with senior management and Accounting; work with Accounting to resolve issues/disputes.
Identify cost savings opportunities and recommend plans to internal customers, provide updates on budgets and expenditures, coordinate all details with vendors, prepare written communications for attendees, track all relevant attendee information, and generate reports for final planning.
Audit and scrutinize invoices and backup documentation prior to submitting to internal customer for payment.
Develop and maintain a yearly calendar of events for training, communication and other engagement activities.
Assist the leads in scheduling multi attendee meetings as necessary
Support planning and execution activities of events, including those related to associate engagement.
Oversee ordering of supplies for the HR team and manage vacation and other team calendars.
Context:
Organizational context: This position is responsible for supporting the daily activities and of the HR department, including the logistical aspects of events and programs.
Framework & guidelines: This position follows established guidelines and procedures as established by the VP Human Resources along with other HR leaders within the team.
Financial dimension: This position has responsibility for tracking and reporting on budget expenditures, including trends.
Degree of latitude: This position must seek approval before finalizing event plans, including budget. There is latitude to make decisions independently regarding administration items including working to resolve issues with Accounting or vendors and resolving issues with room/location during events.
Interactions and relationships : This position works with accounting and external event vendors, as well as the HR team and senior management in coordinating events and meetings.
