Duties and Responsibilities This position supports the Office of the Provost, Academic Programs and Planning. Academic Programs and Planning provides the support services required for accreditation and all facets of curriculum (e.g., overseeing the review and approval process for academic matters that relate to pedagogy, curriculum, and academic policy). This position reports to the Associate Provost of Academic Programs and Planning. Additional functional supervision will be provided by the Assistant Provost for Accreditation, Assessment, and Regulatory Compliance a Loyola University Chicago (LUC) is responsible for maintaining accreditation, which involves multiple coordinated efforts throughout the year related to the assessment of academic programs and academic program review. This work is an embodiment of Loyola University’s commitment to continuous improvement and ensures that LUC remains in compliance with the Higher Learning Commission guidelines for accreditation.
  • Provide administrative support and project coordination and management for the Office of Academic Programs and Planning.
  • Coordinate and support tasks associated with accreditation, including the comprehensive evaluation and other recurring reports
  • Coordinate and support tasks associated with assessment projects related to curriculum and academic program reviews.
  • Coordinate and support tasks related to the delivery and continuous improvement of academic programs
  • Assist with project management including maintaining timelines and tracking deliverables from university-wide stakeholders
  • Manage the calendar of Academic Affairs meetings
  • Document standardized procedures
  • Schedule meetings with faculty and staff stakeholders (groups and individuals), coordinate meeting logistics (room reservations and food), take minutes, draft task lists and coordinate completion of the task list
  • Maintain websites and files for document collection and dissemination of project related information
  • Execute project-specific communication plans
  • Assist in creating marketing materials for projects and initiatives within the Office
  • Develop and maintain positive working relationship with other LUC Schools and Departments (e.g., marketing, catering, campus reservations, administrative assistants, faculty, and staff).
  • General office support including ordering supplies, processing requests, greeting visitors, handling and routing calls, coordinating travel for the Office of the Provost in Burrowes Hall
  • Basic accounting functions including processing purchase requisitions and invoices and assistance with monitoring account budget
  • Other job-related duties as assigned

Minimum Education and/or Work Experience Bachelor’s degree in related field and three years of related experience.
Qualifications
  • Strong organizational and project- and time-management skills as well as attention to detail
  • Excellent oral, written, and interpersonal communication skills
  • Must be able to work well within a culturally diverse environment with the ability to handle all situations with tact and diplomacy
  • Experience coordinating meetings with multiple stakeholders
  • Proficiency with Microsoft Office Suite-especially Excel, Internet and email applications required.


Preferred Qualifications:
  • Experience with portfolio management systems (e.g., Digication)
  • Working knowledge of web, graphic and video design methodologies and applications, web technologies preferred.

Certificates/Credentials/Licenses
  • Bachelor’s degree and 3 years of experience as project manager or coordinator in higher education, non-for-profit or related field.
  • Demonstrated success with planning, coordinating, and implementing large and small scale, detail-orientated projects and events
  • Ability to build relationships, synthesize input from multiple stakeholders, and work collaboratively with faculty and staff across the University on team-based projects
  • Strong aptitude for learning new technologies
  • Knowledge, understanding, and commitment to the mission and values of Loyola University Chicago

Computer Skills Proficiency with Microsoft Office Suite, including high proficiency with Excel and Microsoft Teams, Adobe suite, Internet and email applications. Strong aptitude for learning new technologies.
