Job Overview

The Program Assistant role is to provide a variety of administrative supports to the Assertive Community Engagement & Success (ACES) program in our Bronx office. The administrative assistant will report to the Team Leader of the ACES Bronx team. The objective of this role is to provide administrative support to the program. This position also serves as reception for the Bronx office and will be stationed at the front desk some of the time.

While this is an administrative position, we function as a team and all staff members work to support our mission with our youth. All staff interact with our young people.

Job Description
  • Update team scheduling calendar;
  • Maintain and update office supplies, purchases for program participants, food orders, etc. ;
  • Serve as the custodian for metro cards and petty cash – distributing to staff and participants as needed;
  • Conduct vetting for new referrals via internal databases;
  • Provide front desk coverage welcoming staff, clients, and visitors when necessary;
  • Support leadership from the department with administrative tasks including but not limited to expense reports, planning trips, data entry, etc;
  • Plan and organize special celebrations and recreational activities;
  • Member of the Safety team and coordinate safety trainings for staff;
  • Participate in external and internal trainings to support professional development;
  • Perform other duties as required by ACES leadership.

Qualifications
  • Bachelor’s degree or relevant experience providing administrative support;
  • Demonstrated ability to function effectively in a high paced environment;
  • Highly organized with attention to detail;
  • Excellent writing and oral communication skills;
  • Mastery in Microsoft Office Suites particularly Microsoft Excel;
