The Production Coordinator manages much of the logistical aspects of our events. The PC works with the team's Production Managers, Technical Directors, and Producers to make sure pre-production, production, and post-production run smoothly at all times. The Production Coordinator will work with vendors, crew, and the client to ensure the overall success of the job.


Here’s what they do:

  • Contract vendors: research options, compare quotes, confirm contracts, and ensure timely payment
  • Research special projects, vendors, and supplies as assigned
  • Update & manage production schedules, contact sheets, crew counts, budget trackers, and other documents as necessary
  • Participate in final budget reconciliation
  • Compile & distribute event binders & drawing packets their shows as necessary
  • Facilitate the permitting process
  • Facilitate the insurance process for vendors & contractors
  • Facilitate onboarding process as assigned
  • Book travel (air, ground, and hotel) for the project team, vendors, and clients
  • Meet regularly with internal & external collaborators on & off-site
  • Perform site surveys as needed
  • Set up & maintain onsite production office
  • Distribute radios, credentials, petty cash, and any other pertinent crew supplies onsite
  • Ensure crew meals are set up & ready according to production schedule onsite
  • Serve as the main point of contact for vendors as necessary
  • Ensure crew are well informed with up to date information at all times
  • Manage Production Assistants & Runners onsite
  • Enforce safety standards & preventive maintenance programs
  • Enforce policies & procedures onsite
  • Ensure that all work conforms to pre-established specifications & standards of glue

Here’s what’s required:

  • Bachelor’s degree and/or a minimum of four years of live event, entertainment, live theater, touring concert and/or production experience
  • Computer skills: Macintosh OS or Window platform using Microsoft Office, especially Outlook, Excel, and Powerpoint
  • Experience using Keynote, AirTable, and Concur
  • Strong knowledge of core event production elements, terms, and process
  • Familiarity with theatre & venue building codes & standards
  • Knowledge of venues (NYC & beyond) a plus
