Job Description
The Patient Experience Associate is expected to provide a superb patient experience while maintaining reception and clerical support functions within the Physical Therapy department.

Essential Functions and Job Responsibilities:

  • Greet, schedule and escort patients and visitors to the appropriate areas of the clinic.
  • Ensure appointment and scheduling practices are followed properly.
  • Oversee the collection of required insurance co-payments and documents appropriately.
  • Coordinate and maintain patient extended authorizations and updated prescriptions/plans of care to ensure proper treatment and billing procedures.
  • Maintain appropriate records for expeditious information retrieval.
  • Adhere to all HIPPA regulations regarding patient confidentiality and recordkeeping.
  • Oversee incoming phone notes, flags and clinic visitors to ensure accurate, timely, and positive communication, facilitation, and presentation.
  • Maintain adequate inventory of front office supplies.
  • Set up and maintain office documents (insurance forms, functional questionnaires, etc.) and filing.
  • Assist Physical Therapy Director as needed.

Required Qualifications:

  • High school graduate or equivalent
  • Bilingual Spanish a plus
  • Prior medical office/physical therapy experience strongly preferred
  • Strong customer service and computer skills
  • Excellent communication skills, both written and verbal
  • Detailed oriented
  • Good time management skills and the ability to multi-task and be flexible to changing priorities
  • Team oriented
  • Demonstrates respect and regard for the dignity of all patients, family members, staff, and visitors
  • Respect and understand the patient’s right to treatment and involvement in treatment decisions
  • Appearance appropriate for setting and in compliance with facility policies
  • Demonstrates regular and prompt attendance
  • Demonstrates awareness and consideration for patients in the reception area
