Job Description

Primary Purpose: Maintain accurate attendance records for the campus. Under direct supervision, perform data entry concerning student attendance. Ensure efficient operation of school administrative office and provide clerical services for school’s administrative staff.


Qualifications: Education/Certification

  • High school diploma or GED

Special Knowledge/Skills

  • Proficient use of Microsoft Office – Ability to use personal computer and software to develop spreadsheets, databases, and do word processing consistent with school attendance record keeping and office operations
  • Effective organizational, communication, and interpersonal skills
  • Proficient keyboarding, file maintenance, and 10-key skills
  • Ability to meet established deadlines
  • Working knowledge of PEIMS preferred
  • Working knowledge of TxEIS preferred
  • Bilingual preferred

Experience

  • One to three years secretarial experience, preferably in public education environment
  • Two years data entry experience preferred

Major Responsibilities and Duties: Records and Reports

  • Collect and enter attendance data into established database and verify accuracy of according to established procedures.
  • Prepare and print reports, including attendance reports, class or personnel rosters for teachers, staff and students.
  • Maintain physical and computerized records.
  • Assist parents, students, and faculty with questions regarding student attendance.
  • Call parents to verify student absences as needed.
  • Report all attendance problems to designated administrator.
  • Maintain a daily teacher attendance log and records for substitute teachers.
  • Monitor and process personnel time records including leave requests and reports. Compile information and submit to central office according to established deadlines.
  • Print Sub sign in, add teachers to AESOP for current day for those calling after 6:40 a.m.
  • Update handbooks, policy manuals, and other documents as assigned.
  • Maintain Professional Development records.

Other

  • Assist in campus office as needed.
  • Complete “out of district” travel forms for Principal.
  • Complete registration for workshops and conferences.
  • Complete arrangements for travel accommodations.
  • Prepare three week and 6 week attendance reports and submit to principal and central administration.
  • Process work orders, both maintenance and technology.
  • Process student book fines, keep book fines list, update, and contact students and parents.
  • Prepare and process paraprofessional time sheets and submit to Payroll.
  • Work with assistant principal to prepare the Teacher Handbook.
  • Assist with discipline recording.
  • Answer phones and monitor copy machines.
  • Maintain confidentiality.

Supervisory Responsibilities:

  • None.

Equipment Used:

  • Personal computer or online computer terminal, printer, calculator, and copier.

Working Conditions: Mental Demands/Physical Demands/Environmental Factors:

  • Repetitive hand motions; prolonged use of computer.
