We are looking for a Payroll Manager to lead our payroll functions.
The Payroll Manager performs specialized payroll support work focusing on extending the capabilities and mission of the Company. The Payroll Manager is an essential member of the team in ensuring clients receive premium service, create satisfaction and expand their use of services. The Payroll Manager is responsible for tracking and managing client payroll activities with the Company’s clients, prospects and employees of our clients.
You’ll work to ensure our payroll expenses and taxes are paid correctly and on time. A big part of your job will be to supervise our payroll process team and liaise with our clients. Our ideal candidate is analytical and methodical, with experience in payroll administration and deep knowledge of payroll regulations. The Payroll Manager performs a variety of tasks relating to Accounting, Taxation, Reporting, Compliance and Processing. These tasks may include preparing General Ledger (GL) entries, reconciling accounts, balancing various reports & registers and providing guidance to the team when needed. Provides excellent customer service as well as audit, analyze and reconcile data from multiple sources, spot discrepancies and review and remediate problem root causes.
ESSENTIAL DUTIES
Payroll Processing:
- Communicates and provides best in class payroll services to our client base.
- Sets up new clients in our payroll system and reviews for accuracy before first payroll is processed.
- Acts as trainer to clients located remotely and in person to understand and use payroll software.
- Understands FLSA regulations, payroll tax laws, garnishment calculations and maintains knowledge through ongoing training.
- Processes multi-state and multi-jurisdiction payrolls with all levels of complexity for a variety of clients based on information provided by clients while meeting payroll deadlines.
- Resolves issues in a timely manner with the clients, various agencies, accounting staff and management.
- Reconciles wage information monthly & quarterly and assists with outside agency audit and tax notice resolution.
- Ensures that all tax reporting for assigned clients is done by required deadlines. This includes payroll depository taxes where applicable.
- Participates in and contributes to scheduled and ad hoc training in order to improve policy and process acumen.
- Performs special projects and any other duties as identified.
- Develop systems to process payroll account transactions (e.g. salaries, benefits, garnishments, deductions, taxes and third party payments)
- Coordinate timekeeping and payroll systems
- Oversee processing of payroll changes (e.g. new hires, terminations, raises) and system upgrades
- Ensure compliance with relevant laws and internal policies
- Supervise and coach payroll clerks and assistants
- Liaison to auditors and manage payroll tax audits
- Maintain accurate records and prepare reports
- Resolve issues and answer payroll-related questions
General Accounting: Post and process journal entries to ensure all business transactions are recorded properly and correctly. Handle billing function including invoicing and preparing related ACH and wire requests. Update and reconcile accounts receivable. Assist in the processing of balance sheets, income statements and other financial statements according to legal and company accounting and financial guidelines. Assist with reviewing of expenses. Update financial data in databases to ensure that information will be accurate and immediately available when needed. Prepare and submit weekly/monthly reports.
Business Operations: Prepare new payroll business quotes. Create, send and prepare marketing literature. Social media management related to payroll. Manage annual payroll marketing calendar. Assist with development of payroll marketing materials and messaging.
Payroll Taxation: Partner with Payroll operations team to ensure all appropriate payroll taxes are correctly set up in EOG master file (local/state tax reciprocities rule) for both US and Canada. Balance quarterly tax filing. Prepare & amend tax returns as needed. Support year-end tax related items such as annual W-2 balancing with registers. Manage agency tax tracers and support external agency audit requirements. Reconcile each payroll register with tax filing reports to assure accurate payment and timely tax filing are performed. Keep up with latest taxation requirements for US by researching taxation rules of new Pay & Deduction codes. Ensure codes and mapping are timely set up in payroll system. Prepare registration for new locations or taxing jurisdictions with various government agencies. Maintain compliance with the work/resident taxation rules and work closely with the global mobility department for taxation impact on payroll expatriates.
Reporting: Prepares various standard weekly, biweekly, monthly and adhoc reporting. Provide support for fiscal year, statutory, and government audits. Perform statistical employee reporting to various government agencies along with other reporting as required.
Payroll Compliance: Assist in ensuring compliance of all Sarbanes Oxley (SOX) controls relating to payroll processing functions. Perform regular audits within the payroll system to assure correct data reconciliation & taxation are occurring. Track compliance changes and analyze accounts for reasonableness and proper accounting flows. Assist in ensuring proper financial controls are in place.
Proven Skills, Education and Experience
- 3+ years of proven experience as a payroll manager, payroll accountant or similar role
- Current knowledge of payroll procedures and related laws
- Excellent understanding of payroll taxes
- Familiarity with payroll software/ HRIS (e.g. SAP, ADP, Kronos, Paycheck, Paylocity, APEX) and MS Office
- Advanced Microsoft Excel Skills
- A keen eye for detail
- An analytical mind and excellent math skills
- Outstanding communication skills (written and oral)
- Strong sense of urgency
- Organizational and leadership skills
- BS/BA in Business Administration, Accounting, or related field; professional certification (e.g. CPP, CPM) is a plus.
Compensation: Competitive wage. Full-Time, M-F 8:00 A.M. to 5:00 P.M. Periodic performance bonus eligibility depends upon qualifications. Vacation, Sick, Health Benefit Package (Medical, Dental, Vision, Life) and IRA w. Matching Program.
Working Conditions/Physical Demands:
