The Massachusetts General Hospital Down Syndrome Program is looking for a full time administrative assistant for 40 hours per week.
The MGH Down Syndrome Program integrates state-of-the-art resources with compassionate, comprehensive care through a multi-disciplinary approach in which our team provides care to patients of all ages with Down syndrome. Our Down Syndrome Program has five distinct clinical services to ensure that people with Down syndrome receive the specialty care that is specific for their age group: Prenatal consultation, Infant/Toddler Clinic, Child Clinic, Adolescent/Young Adult Clinic, and Adult Clinic. Our passion is to provide healthcare, research, and education that contribute to a world in which all people with Down syndrome are accepted, celebrated and have the opportunity to fully realize their potential.
The successful candidate will work closely with the Program Manager and our providers to facilitate the patient experience. You will get to be part of a compassionate, energetic, and dynamic team- the first point of contact for our patients and families- helping with appointments, letters, prior approvals, and other tasks that support patient care. The position includes time spent on the phone with patients and their families as well as other provider offices to help gather records and schedule appropriate provider visits.
Responsibilities:
- Answer the main Down Syndrome Program phone line
- Review Epic (electronic scheduling system) to confirm appointments
- Reschedule appointments within Epic as requested
- Contact patients on clinic waitlist when there are cancellations
- Triage more complex calls to appropriate team member
- Manage clinic observer calendar
- Fax prescriptions, doctor’s orders, patient notes as requested by providers
- Request, collect, scan patient outside records to Epic, including release of information forms as needed
- Monitor Down Syndrome Program email inbox and triage as appropriate
- Coordinate guardianship paperwork with providers and send to patients
- Request clinic intake forms, track, follow up as appropriate to gather responses
- Help compile and send with patient letter requests working with provider
- Help send referrals to agencies, when appropriate
- Help submit prior authorizations for patients and follow-up on status
Education: High School diploma required
Experience:
At least 2 years experience of directly related experience required working in a fast paced patient or client services role. Experience in healthcare a plus. Experience with Epic also a plus.
