About the Brand Packaging Team

The Pottery Barn brand packaging team is a small, tenured creative design team responsible for developing and implementing elevated branding for products and packaging. As the Project Coordinator, you will partner with cross-functional teams, collaborate with team members and correspond with overseas vendors to execute packaging designs and ensure brand consistency for all product categories. We are looking for someone with excellent organizational and communication skills who thrives in fast paced, collaborative environment and is passionate about working with a creative team.

Overview of the Project Coordinator role

The Project Coordinator will serve as the primary operational support to execute packaging across several product categories, under the direction of the Senior Project Manager. You will be responsible for coordinating information across functions working closely with Merchandising, Design, Product Safety and Reliability, Sourcing, Visual, vendors and printers to ensure designs are executed and timelines met. The role heavily focuses on vendor communication, so we are looking for a Project Coordinator with 3+ years of project coordination and vendor management experience to support our design team.

Responsibilities

  • Works with internal teams to compile packaging needs and verifies the accuracy of seasonal packaging requests before delivering projects to design and production artists
  • Communicates with international offices and vendors to ensure brand consistency and on-time product delivery
  • Prioritizes projects, manages internal proofing, uploads deliverables to vendors, and tracks 500+ deadline sensitive product SKUs a season
  • Maintains and refines the workflow process across multiple product lines
  • Continually evaluates project activity and reports on project progress
  • Problem solves while reporting and escalating to the Senior Project Manager any issues that impact timeline and budget
  • Ensures packaging compliance requirements are met on all projects
  • Maintains databases, filing systems, and archives
  • Reviews proofs and assembly methods of all product packaging for bulk production approvals to ensure accuracy
  • Manages the workflow and tracks the progress and quality of work being performed by translation vendors
  • Reviews core and seasonal product assortments to determine packaging localization needs for international stores and manage the production process
  • Operate a computer and communicate via telephone
  • Transport materials and equipment and lift, move and carry objects up to 50 pounds on a limited basis

Criteria

  • 3-5 years of project coordination experience
  • 1-2 years international vendor management and packaging-related work experience
  • Solid written and verbal communication skills and ability to multi-task
  • Must be detail-oriented, organized, and be a self-starter
  • Strong analytical skills with the ability to adapt to changing priorities and problem solve
  • Excellent time management skills; ability to set priorities and remain flexible to changes
  • BA/BS degree in a related field from an accredited college or university
  • Experience working with translation agencies a plus
  • Mac OS, MS Office, Outlook, Adobe Illustrator
  • Knowledge of Flex PLM, Proof HQ, and FileMaker Pro a plus
  • Ability to perform work onsite in the San Francisco office full-time pending state, local, and Company return-to-work guidance during and after the COVID-19 pandemic.
