Under general supervision of the South Carolina Program for Infant/Toddler Care ( SCPITC ) Network Director, the Operations and Special Projects Manager will coordinate program operations, program outreach, and reporting; plan and execute special training projects and events; and manage internal projects. The position will manage project inventory and logistics for a team of 19 field staff, advise agency leadership on operations, and other duties as necessary to support the overall program mission and services.
Job duties include:
Direct and coordinate outreach, trainings, meetings, and special events across SCPITC projects. Consult with the Network Director to lead planning and execution of myriad details required for successful external learning events for participants including: Manage professional communication and coordination with presenters and partners to develop the annual SCPITC statewide training events; Navigate compliance protocol with relevant UofSC staff for adherence to procedures; Design and implement participant recruitment plan for each special event; Develop and meticulously manage online registration systems; Create and present proposals for leadership team to guide development of event promotion such as materials and outreach plan. Fully execute final training event implementation plan. Manage onsite and virtual events, working with venue staff to ensure all details are executed with precision. Work with appropriate venue staff and UofSC accounting team to reconcile expenses. Direct event documentation, reporting, and thorough organization of event records to reference for future planning. Lead coordination and planning of internal SCPITC meetings and special training events. Manage master event and meeting calendar and communicate with team to ensure clarity regarding meeting logistics. Manage meeting venue reservations and planning. Coordinate efforts of SCPITC Morale Committee to include team building activities, team member recognition, and celebrations.
Lead SCPITC outreach, professional relationship management, and messaging efforts to state and local partners including funders, child-serving agency partners, and service participants; Guide development of promotional and programmatic materials, acting as liaison between SCPITC leadership team and outside graphic design team, manage meticulous inventory tracking and logistics for distribution to statewide team and coordinate with web designer to innovate and update organization website to ensure engaging and relevant web content. Represent SCPITC at industry and partner meetings, engaging in tactful communication to further cultivate positive and professional relationships.
Manage quality assurance of SCPITC service data including monitoring and follow-up with appropriate team members for completion of evaluation data according to SCPITC procedures. Manage grant and stipend request processes.
Lead the coordination, collection, and maintenance of detailed program activities, documented throughout the year and work with agency leadership to prepare reports to funders.
Carry out special projects as directed by the Network Director. Lead coordination and oversight of SCPITC Early Care and Education Demonstration Site initiative. Serve as primary liaison to SCPITC Demonstration Site, communicate regularly with Demonstration Site leadership, work with Demonstration Site staff to pilot new SCPITC initiatives or adaptations to current practices and collect feedback from Demonstration Site staff to inform roll-out. Collect bi-annual reports from SCPITC Demonstration Program and coordinate appropriate SCPITC staff to respond to identified challenges or areas for improvements. Assist in the preparation and monitoring of the budget. Create and maintain detailed record-keeping for reporting, budget forecasting, and future planning.
Minimum Qualifications (Classified and Unclassified positions)
Master’s degree and 4 years training and development experience, or bachelor’s degree and 6 years training and development experience.
Preferred Qualifications
Knowledge/Skills/Abilities
Ability to develop and maintain effective working relationships with on-campus and remote staff. A program operations leader who is detail-oriented, a self-starter nimble at multi-tasking, and can forecast and manage inventory to support several projects under the SCPITC umbrella. Positive attitude, solutions focused, exercises good judgment, and maintains confidentiality. Extremely strong oral and written communication skills, especially regarding written reports to funders. Demonstrated skills in MS Office Suite and Google Docs. Social Media experience a plus.
