Job Summary

The Operations Coordinator provides administrative support to the Property Management Department (both Property Management and Compliance) in the day-to-day management of property management operations services. This position works collaboratively with the Facilities Operations Coordinator and other relevant staff to ensure excellence in delivery and executive of operations support to the members of the Compliance and Property Management team.

The Operations Coordinator assists in the analysis of departmental organizational, communication and management systems, thereby strengthening our department’s management capacity; processes and tools: including new employee on-boarding and education plans, budgeting and budget control, organization of department files; accounts receivable and reporting key results analyses of department and portfolio performance to internal and external customers; and supports the growth of the department’s management capacity.

The ideal Operations Coordinator is proficient in Microsoft Office Suites, has accounting knowledge, experience working with formula based spreadsheets and mail mergers, and can multitask. Additionally, the ideal Operations Coordinator is a team player with the ability to work with persons of diverse racial-ethnic, social-economic, religious, sexual orientation, gender identity, disability, and or health-related backgrounds; and is a reliable self-starter who can work independently with minimum supervision.

Essential Duties and Responsibilities:

Systems Management Support:

  • Assist the Director of Compliance and as needed the Senior Director of Property Management in coordinating and monitoring departmental goals, policies and procedures, and development of the annual work plan.
  • Assist the Senior Director of Property Management to maintain metrics for property management operations, including vacancy loss, financial, inspections, and maintenance metrics.
  • Support the Director of Compliance and as needed the Senior Director of Property Management to build and improve systems and processes
  • Continuously assist the Director of Compliance and as needed the Senior Director to drive and develop a positive culture

Information Management & General Office Support:

  • Perform clerical duties to include organization of phone lists, filing, mail administration.
  • Coordinate, department training and meetings, office supply orders
  • Create and manage listserv groups
  • Solicit items of departmental for the create of the bi-monthly PMD News Bulletin
  • Create move in packets for new PMD residents
  • Maintain an organized system for accurate electronic record keeping including marketing information, inspection records, reporting, and budget logs
  • Assist the Director of Compliance and as needed Property Management Department (PMD) leadership and budget teams to take meeting minutes, conduct research, and complete data entry.
  • Support the New Employee Task Force to track employee training and property distribution.

Financial Support:

  • Manage and maintain key vendor accounts to include utility companies
  • Invoice support
  • Maintain a system for rent collection and provide regular updates

Qualifications, Education, and Experience:

  • High School or GED and 1-3 years of experience in office administration. AA degree a plus OR any combination of education and experience that provides equivalent knowledge, skills, and abilities to perform job duties satisfactorily.
  • Experience working with and creating spreadsheet and accounting software including Yardi Voyager, Microsoft Suite, SharePoint, PDF, and/or other similar software
  • Excellent communication skills, written and oral
  • Excellent organizational and time management skills
  • A commitment to engaging professionally in developing a racial equity lens in the application of the assigned tasks of the position
  • COVID-19 vaccination OR weekly testing required (At-home testing accepted)

Salary: $20.67-$21.63 per hour DOQ ($43,000-$45,000 annually)
