Job Overview

The Operations Coordinator provides operational support for a variety of administrative areas in the Tilghman International Center. The individual in this position will lead administrative and operations support in the areas of student and academic support services; facilities; center events, special programs, including international student orientation and other areas as required. The Operations Coordinator will have access to student data and other sensitive information and will need to exercise good judgment and discretion in the performance of job duties.


Key Responsibilities

This is a valued role in a growing, dynamic organization, so the responsibilities of the position may change over time but will include the following:

Academic and Student Services Support (40%)

  • Provide administrative support to the INTO Drew Academic management team, including the coordination of student mid-term progress reports;
  • Assist in the following areas of the student experience for Drew international students: on-campus housing and dining, arrivals and airport transfer, orientation and engagement;
  • Provide support to the Student Services team which will include administrative duties related to the academic coaching program, student advising and support services, and special programs and events for the international student community

Events, Visits and Meetings (30%)

  • Coordinate planning for center meetings, visits and events;
  • Assist with local arrangements for Familiarization (FAM) trips for regional office representatives and agents from all over the world or other major events;
  • Provide excellent customer service on behalf of the Tilghman International Center;
  • Assist with the supervision of the student Welcome Desk staff;
  • Provide administrative support for meetings as required;
  • Lead and promote the INTO Drew charitable work relating to INTO Giving

Facilities and Administration (30%)

  • Provide administrative support for projects, innovations and other INTO Drew activities;
  • Provide support for the recruitment, hiring, on-boarding of staff at INTO Drew;
  • Maintain master staff and faculty lists; distribution lists; and org charts;
  • Liaise with the university facilities department on issues related to building maintenance
  • Act as point of contact for IT support;
  • Other duties as assigned

Qualifications & Experience

Essential:

  • Two years’ experience in an administrative role or comparable experience;
  • Ability to plan, develop, and administer programs, projects;
  • An international outlook, ability to work in a diverse environment, and cross-cultural awareness and understanding;
  • Excellent interpersonal, oral and written communication skills;
  • Ability to communicate effectively and productively with multiple stakeholders;
  • Demonstrated ability working as a productive member of a team and adapting to different working styles;
  • Computer and electronic communication literacy: Microsoft Office, proficiency in Excel, and Google G Suite
  • Demonstrable commitment to promoting and enhancing diversity;
  • Problem solving, decision-making, and creative thinking abilities;
  • High energy level and ability to thrive in a fast-paced environment and cope with change;
  • Proven customer service skills;
  • Excellent organizational skills;

Desirable:

  • Bachelor’s Degree;
  • Overseas experience and foreign language competence;
  • Experience working in an international environment;
  • Experience working in higher education;
  • Proficiency in Teams, Zoom and/or other communication tools;
  • Familiarity with admin tools such as DocuSign, Google Drive and Box

Reporting Line

This position reports directly to the Assistant Director, Student Experience.
