Job Description

We are seeking an Operations Administrative Assistant to join our growing Operations team. The main objective of our Operations Administrative Assistant is to provide office support to optimize workflow procedures in our Operation department. The Operations Administrative Assistant will collaborate with the Operations Management team with all aspects of managing and disseminating information.

Duties and Responsibilities

  • Compile daily reports from each warehouse department
  • Create, maintain, distribute, weekly employee schedules
  • Take accurate minutes of meetings
  • Produce and distribute memos
  • Schedule, update, and manage department and personnel calendars
  • Process and submit expense reports and receipts
  • Finalize SOP's, Operations & Maintenance Manual
  • Assist team members when necessary

Qualifications/Requirements

  • High School Diploma/GED Required
  • Proven experience as a receptionist, administrative assistant. office administrator, or relevant role
  • Prior warehouse experience or similar is preferred but not required
  • Demonstrate the ability to effectively communicate verbally and in written English
  • Spanish is preferred but not required
  • Proficient in Microsoft Suite, Google Suite, and Adobe
  • Ability to work independently and as part of a team
  • Exceptional interpersonal skills
  • Must possess great attention to detail and analytical skills
  • Ability to plan, organize, prioritize, and meet deadlines
  • Ability to maintain confidential and sensitive files , information, and reports
  • Efficient in time management and capable of multitasking
  • Adaptability, teamwork, and problem-solving skills
  • Must have open availability to work extra hours and/or any shift assigned
