Job Description
POSITION SUMMARY:

The Oncology Care Assistant greets patients in the infusion department, collects demographic/insurance information, and enters data into the electronic medical record system and puts on patient identifier band. Enters demographic data into the medical record system and obtains signatures from the patients on Conditions of Admission forms, and or any other authorization forms. Assures accuracy of information posted into the computer systems. Supports department operations as needed by picking up and delivering supplies such as chemotherapy/medications from remote locations and delivering lab specimens to multiple locations. Provides general administrative support to the physicians and infusion RN’s within the department as needed. Scheduled appointments for infusion patients, oncology patients, collects faxes, assists in coordinating orders from multiple doctors’ offices in the community, works the referral que in the EMR system to schedule patients and ensure prior authorizations have been obtained. Reaches out to clinics for orders expiring, items needed to schedule patients and or letters for patient no shows to clinic.


KEY RESPONSIBILITIES


Performed majority of the time:


  • Checks in patients to include gathering patient information and keying demographic and insurance information verifying PA on orders are valid before scheduling patients in the infusion group.
  • Ensures the physicians’ orders are complete with diagnosis, medication or procedure, signature and prior authorization.
  • Answers the telephone when in the department, takes accurate messages and routes them to appropriate personnel.
  • Transports specimens and supplies between departments.
  • Cleans treatment areas between patients and stocks supplies within the department.
  • Provides administrative support to physicians and Oncology RN’s as needed.
  • Scans documents into the electronic medical record system.
  • Communicates with physicians, nursing staff and Clinical Services Team to ensure proper procurement of specimens, and that correct orders are placed.
  • Delivers time sensitive supplies within departments, on time.
  • Answers phone and voice mail promptly.


Performed occasionally but critical to successful performance of the job:


  • Looks for ways to improve customer service.
  • Maintains appropriate levels of office supplies required to perform tasks, i.e. toner cartridges, paper and forms.
  • Attends and participates in department meetings.
  • Supports team and patient care during absence of co-workers by being available to cover vacation and sick time.
